A vacancy exists for a Senior Administration Clerk, based at Eugene Marais Radiology, reporting to the Practice Manager, Louis Conradie. The successful candidate will have excellent written communication and administration skills, and provide the full administration and support function to the Practice Manager and Management team.Critical OutputsPerform administrative tasks requested by Practice Manager and Head RadiographerCapture, extract, collate and compile data and reports on a daily, weekly and monthly basisManage and maintain an efficient record and filing systemAttend meetings and in-service training as scheduledTake minutes of all management meetings and other, as requiredAssist with coordinating and arranging training and workshopsCapturing and management of workskills plan and training recordsAssist with incident investigation, root cause analysis, follow-up and feedbackAssist with Quality Improvement initiativesManage Practice Manager and management team diariesProvide communication and feedback to patients, customers and employeesManage comment cards supported by managementsEnsure vendor deliverables are met against signed service level agreementsAssist Practice Manager and other line manager with HR admin tasks i.e. completing HR documentation for approval, arranging and participating in interviews, Lexis Nexus checks, gathering documentation for new engagements, reference checks, and onboarding new employees to the unit (micro induction)Assist with the execution of policies and procedures relating to Occupational Health and Safety, Infection Prevention, and Quality ManagementParticipate in all internal audits and contribute meaningfully to audit complianceManaging corrective action plans (CAPS)Radiation and dosimeter management and reportingMedical surveillance bookings for employee entry and exit medicalsManage and investigate customer relationship complaints including determining cause of problem and providing feedback to the customerSite specific Hazardous Chemical Agents managementManagement of Health Care Risk Waste and general wasteContribute to an environmental aspects and impacts register as well as monitoring of monthly water, electricity and other resource usageParticipate in Occupational Health and Safety Risk Assessments and Operational Risk AssessmentsMonthly reporting on all Quality outcomesParticipate in infection prevention activities and facility walkthroughsDocument control and ensuring the correct documents and latest version is in useAny other duties that may be required from time to time.RequirementsGrade 12A tertiary qualification is advantageousAt least 5 years' experience in a relevant fieldStrong computer literacy and competence in full Microsoft office suiteExcellent command of the English languageExperience in dealing with customers, patients, and employeesAbility to work independently, manage time and use initiativeConfidentiality and discretion.Qualification or experience in ISO 9001: Quality Management System or Occupational Health and Safety is advantageousCompetenciesProblem-solving/analysisPlanning & organisingPays close attention to detailExcellent interpersonal and communication skills is neededResilienceVerbal & written communicationTeamworkCustomer responsivenessAttention to detailBuilding relationshipsOrganizational awarenessDrive & energyExcellence orientationEthical behaviourCommitment towards continuous improvementAbility to work independentlyGood time managementHonesty and reliabilityAbility to work under pressureAptitude for Quality ManagementEmail: ****** date: Friday, September 6, 2024Internal applicants - Before making an application, you are requested to discuss your application with your line manager.
