Position Title: Office Manager / Sales Manager
Reports to: Directors / General Manager
Position Overview: This position as Office/Sales Manager plays a major role in the success and profitability of the company. The appointed person must be goal driven and goal orientated with great management and training skills and a passion for the property industry. The incumbent will have significant business responsibility; target driven and good business skills will be an advantage.
Duties and Responsibilities / Core Tasks:
Appointment of new property practitioners:
Building and constant updating of area property practitioner database of opposition agency property practitioners;
Planning, coordination and placement of recruitment ads and property practitioner information sessions;
Continued canvassing and recruitment activities for current operational estate property practitioners;
Following the Recruitment Strategy Guidelines;
Screening, appointing and training of new estate property practitioners;
Concluding service contracts and office rules with property practitioners;
A Sales Manager must spend at least 60% of their time on recruitment activities.
Training of property practitioners:
Training on general office procedures;
Training on the Prop Control system;
Training on CMA / Lightstone reports;
Training on how to canvass an area;
Screening and nominating the property practitioner's canvass area;
Training on contracts – OTP's and required FICA documentation;
Training on formulas and VAT calculations;
Training on Listings;
Training on show houses;
Training on photography;
Training on negotiating skills;
Training on advertisements;
Setting and monitoring property practitioner goals.
Property practitioner support and back-up:
Distributing emails and correspondence to property practitioners;
Monthly/Quarterly one-on-one meetings with property practitioners;
Monitoring property practitioners' progress and productivity;
Assisting property practitioners with administrative requirements;
Providing training and support on necessary systems;
Preparing and ordering marketing materials;
Visiting property practitioners' show houses regularly.
Contracts:
Checking and signing off new contracts;
Scheduling interviews to discuss contract terms;
Calculating property practitioner commission splits;
Ensuring completeness of contracts;
Managing follow-ups for registered deals;
Handling queries from buyers/sellers.
Office and area branding:
Ensuring office exterior is neat and branding is up to standard;
Regular inspection of show houses and property branding;
Conducting expos for brand awareness.
Reporting:
Reporting to the company directors on a regular basis.
