Residential Estate Administrator required at an affluent residential and golf estate in Johannesburg.Minimum RequirementsMatricTertiary Qualification would be advantageous4+ year's experience in a property management environment.Overview of DutiesEnsuring that the estate operates in accordance with local, provincial, and national regulations. This includes overseeing the adherence to estate rules, managing compliance-related documentation, and coordinating with relevant authorities to maintain a safe, lawful, and harmonious living environment.Responsible for managing the day-to-day administrative operations of the estate. This includes handling resident inquiries, maintaining records, coordinating with various departments, and ensuring smooth and efficient estate management.Ensure architectural compliance in accordance with governing deeds.Enforce rules consistently in accordance with governing deeds.Ensure that the governance structures, processes and principles are upheld, ensuring the HOA's activities align with governing documents, and uphold legal and ethical standards.ResponsibilitiesCompliance oversightMonitor and enforce adherence to estate rules and regulations.Investigate incidents of non-compliance and implement corrective actions.Handle resident complaints related to compliance issues.Full administrative knowledge of governing documents.Maintain register of contracts and licenses to ensure all are up to date and report all items requiring renewal.Resident, Property Practitioners, Contractor and Architect LiaisonCustodian of all building plans, and strict control of these.Serve as the primary point of contact for residents regarding queries and concerns.Interaction and correspondence with homeowners on matters pertaining to Governing Deeds and MOI.Interaction and correspondence with homeowners and external parties relating to property transactions (including purchases, sales, and rentals) and ad hoc matters such as disputes, complaints, non-/faulty payments, and other transgressions.Advise homeowners, architects, and contractors on regulatory requirements and estate rules.Ensure Property Practitioners are up to date on all the Estate's governing deeds and regulations.Follow up on outstanding fines and penalties and ensure breaches have been remedied.Co-ordinate with Security to ensure resident databases are up to date.Co-ordination and Administration of the Architectural Review Committee (ARC)Administration and preparation of agenda for Architectural Review Meetings.Receive and prepare building plan proposals for ARC meetings.Provide feedback to architects and homeowners on ARC findings.Prepare minutes of ARC meetings.Ensure compliance on building projects through ARC activities, plan scrutiny fees, builders code of conduct, building fees & deposits, builders boards etc.Conduct regular site inspections of building projects.Salary BracketR30 000 to R40 000 per month CTC, depending on experience, qualification(s) and current/previous package.Desired SkillsProperty administrationProperty managementHomeowners association
