Overall Purpose of the Job
Plans, directs, and co-ordinates the activities of a portfolio of technology projects to ensure that the goals or objectives of the projects are achieved within the prescribed period and parameters and in line with the business outcomes agreed.
Develops project plans specifying goals, strategy, scheduling, risks, contingency plans, and allocation of resources and assigns resources directing, co-ordinating and monitoring their activities and compliance with technical and functional standards and agreed budgets and reports on project progress to stakeholders.
Manages relationships with stakeholders, project team members, suppliers and business leaders and provides advice and support regarding the project.
Program Management

Ensures alignment of investment with specific business strategies and objectives and the benefits to be realized.
Agrees business requirements with the relevant stakeholders and translates these into operational plans.
Develops and applies a management framework to define and deliver a portfolio of projects.
Maintains a strategic view over all current and planned projects.
Prioritizes and schedules program resources and their utilization managing inter dependencies and program risks as necessary.
Identifies, plans and co-ordinates projects and activities in support of specific business strategies and objectives.
Drives and implements Project management practices that support iterative/agile working.
Takes cognisance of projects running simultaneously and identifies dependencies and their impact on the respective projects and business.

Project Management & Support

Develops individual project plans, goals, and budgets; identifying resources required.
Collaborates with Project Sponsors to define deliverables, milestones and dependencies.
Develops schedules and methods for measuring and tracking results.
Organizes and manages all phases of the projects to ensure on-time completion, quality assurance and the formal assessment of risk.
Assembles and coordinates project team members; assigning individual responsibilities in accordance with skills and strengths.
Prepares requests for proposals and conducts all necessary meetings to facilitate selection of project services and products.
Provides support and guidance to project team members and project sponsors regarding project management processes, procedures, tools and techniques.
Plans and oversees the preparation and dissemination of project communications.
Follows the agreed RACI model during each phase of a project.
Ensures projects are formally closed and reviewed.
Reviews project outcomes and experiences and distils learnings from current and previous projects.
Ensures that the project meets all deliverables and the project transition to operations is planned.

Stakeholder Management

Communicates with stakeholders and maintains awareness of business needs and priorities.
Provides business with a monthly review of services provided and status of planned changes and enhancements.
Handles escalations from business and is the lead with regard to Problem Management.
Attends and reviews management meetings with brands monthly.
Facilitates project meetings/workshops to report on progress, or address issues/problems.
Educates stakeholders on project management principles and addresses stakeholders' knowledge gaps.

Continuous Improvement & Advisory

Researches new ideas to improve the systems for the Group.
Keeps abreast of industry trends and best practices and makes recommendations to Senior management.
Liaises with business and departmental heads to provide advice on technological matters and implementation.
Provides advice on development, production and maintenance of business cases, time, resources, cost and exception plans.
Advises and shares knowledge with project teams and sponsors on standards and how to comply.
Ensures that projects are correctly budgeted for.
Monitors and tracks that project spends are kept within a 5% spend margin according to budget.
Ensures that project budget overruns which include out of scope expenditures are correctly accounted for and signed off by the relevant parties.
Ensures project deliverables are formally approved before invoices from suppliers are paid.
Follows up on payment of invoices should there be delays and deviations from contract terms.

Supplier Management

Negotiates SLA's ensuring terms, conditions and deliverables are aligned with project objectives.
Monitors the performance and deliverables of suppliers, vendors and/or contractors, initiating remedial action where problems arise.
Monitors and manages the expectations of suppliers, vendors and contractors and identifies and flags risks.
Arranges and facilitates meetings between suppliers, vendors and/or contractors and the respective Project Teams as required.

Change/Transition Management

Collaborates with Project Sponsor and business leaders to define operational readiness.
Monitors the management of expectations and reports on any risks identified.
Initiates discussions and gets agreement from business regarding handovers and training.
Prepares a Change Management plan for approval by the Project Steering Committee.
Collaborates with the change manager to develop a detailed transition plan that extends to all levels in the organisation that is affected by the projects being implemented.
Monitors the implementation of the change management plan and provides guidance and input as required.
Alerts Brand and line management of resistance to change and failures to adopt the new way of work.

Human Resource Management

Defines a career path for Support staff.
Conducts EDW, goal settings and conducts employee appraisals.
Sets performance objectives for staff.
Establishes and defines succession planning for your role.
Draws up action plans to address poor performance.
Ensures that staff attend regular training to ensure that they meet the requirements for their role and keep up with the maintenance thereof.
Institutes monthly reporting sessions for team leaders to track progress and compliance of systems and work done.
Onboards and transitions to new ways of working for new and existing staff.
Alerts line management and stakeholders of potential gaps identified with project and operational resources.

Education

Project Management Qualification.
ITIL v3 Foundation.
ICT Diploma.
Bachelor's degree in (Information Systems, Informatics, Computer Science or Information Technology) – NQF 7 (6) Or National Diploma / Diploma in Software Development / IT- NQF 6 (5).
