ResponsibilitiesManagement of Petty Cash – must be reconciled and reported monthlyBNI – attending of Business Network on behalf of Management when so requiredSupport of the Company Property Management requirements such as emails, reconciliations, communication, etc.Manage and Control Office aspects such as Electricity, Post Box, Banners, Stock check, etc.Ensure that the General Appearance of the office is professional, managed, controlled and instructions provided to cleaner & gardenerActive liaising with 3rd party companies such as Metrofile, shredding of confidential information, ordering of stationery, handling and directing of Account queries, etc.Liaise and support Senior Management with timeous diary management and creditor payments (reminders and reconciliations)Manage and oversee all security and safety aspects of the Office, including Health & Safety aspects, Injuries, etc.Ensure that all annual subscriptions are noted and renewed when required (following approval from Management) – set reminders for aspects such as Annual Short-Term insurance, Microsoft subscriptions, security, etc.Ensure that weekly filing is managed and doneManage reception and all messages, calls and client enquiries.Assist with audits and documentation compilations where so requested and instructed.Manage and control all Corporate Gifts, Employee Wellness, Long service, birthdays, and special days which contribute towards the wellness of the employees.Support and manage tasks such as requesting deposits, drafting of invoices, etc. where so instructed.Ensure that the legally required documentation is on every file prior to filing – liaise with the final/account manager to ensure full compliance (e.g. terms of engagement)Ensure that all compliance requirements are diarized, and reminders discussed with Senior Management, which include FIC reporting, PoPIA renewal, LPC renewal, etc.Follow up with Estate Transfers and provide feedback to managementClient engagement/satisfactory management and wellness through ensuring that each client's birthday is recorded, managed and professional notes forwardedEnsure that you understand the deadlines and timelines for arranging courier services and following up.General client and partner invoicing with reconciliation of accounts and files.Any adhoc tasks and instructions provided from time to time by management.AttributesInnovatorLeadership skillsOffice Assistant skillsComputer LiterateOwn TransportQualificationsMatric or Certificate in Office Management3 – 4 years' experience in Office ManagementFinancial background is advantageousJob Type: Full-timePay: R1,00 - R12000,00 per monthApplication Deadline: 2024/11/22
