A boutique real estate agency, specializing in sales, rentals, and body corporate/sectional title management, is seeking a dedicated Junior Administrative Assistant to support the Portfolio Body Corporate Manager.

Overview: As an essential part of the team, you will assist the Portfolio Manager in handling day-to-day tasks, ensuring smooth operations, and providing top-notch service to our clients. This entry-level role is ideal for someone who is tech-savvy, highly organized, and excited to develop their skills in the body corporate management field. Key Responsibilities: Answer and screen calls for the Portfolio Manager, providing first-line support to owners, tenants, and trustees. Handle walk-in client inquiries, assisting with access tags, remotes, and any general questions or concerns. Prepare, send, and follow up on notices for breaches of conduct rules and handle related administrative tasks. Coordinate with contractors and follow up on maintenance and repair requests to ensure timely resolution. Maintain accurate records of communications and actions in Google Workspace and WeConnectU (experience with WeConnectU is a plus). Assist in scheduling and organizing meetings, preparing agendas, and taking notes as required. Provide general office support, including filing, scanning, and updating client information. Requirements: Tech-Savvy: Proficient in Google Workspace (Docs, Sheets, Calendar) with a knack for quickly learning new software (WeConnectU knowledge is an advantage). Excellent Communication Skills: Calm, friendly, and professional demeanor with the ability to handle client interactions effectively and with patience. Strong Organizational Skills: Detail-oriented, able to multitask, and prioritize workload effectively. Problem-Solver: Able to think on your feet, provide solutions, and handle issues with a positive attitude. Willingness to Learn: Eager to gain knowledge in body corporate and sectional title management and grow within the department.
