Job ResponsibilitiesArrange Executives' calendars, including scheduling meetings, appointments, and travel arrangements.Schedule, organize, and arrange meetings and appointments as needed.Confirm appointments the day before.Relay relevant upcoming appointments to Executives daily, keeping them informed of their schedules.Coordinate and maintain electronic calendars for the Executive Team.Assist the Executive Team in coordinating meeting rhythms and tracking team member action items on a daily, weekly, monthly, and quarterly basis.Provide strong secretarial support to the Executive Team to manage their workload, take notes, produce minutes, and send action items to the team.Coordinate and prioritize incoming communications, including emails and phone calls, ensuring prompt attention to matters.Organize meetings, conferences, and special events, including logistics, agenda preparation, and follow-up actions.Prepare correspondence, presentations, and other documents.Serve as a liaison between Executives, internal teams, clients, and external stakeholders, maintaining professional and confidential communication at all times.Book flights, accommodations, and car rentals as needed after authorization, as well as any related events at least one week prior to travel.Apply for and complete all documentation for travel visas.Manage special projects and initiatives as assigned by the Executives, ensuring timely completion and delivery.Manage the email database in Pipedrive.Print and manage marketing materials.Assist with personal tasks and errands for the Executive Team as needed.Perform other administrative duties as required to support the Executive Team.
