Join us in orchestrating exceptional events and step into a dynamic role where you'll be at the forefront of delivering high-impact events . As an Event Coordinator & Administrator, you'll coordinate, plan, and manage events that drive our organizational and financial goals. Your role is to provide exceptional administrative support while ensuring every event is executed flawlessly.Key Responsibilities:Event Coordination: Independently manage small to medium events, overseeing everything from conceptualization, venue sourcing, planning, and execution, to post-event reporting and debriefs.Documentation: Draft and manage operational documents, including budgets, event specification guides, and detailed post-event reports.Client Interaction: Ensure timely and professional responses to client briefs, including preparing budgets and event concepts. Maintain regular status meetings, keeping precise records of agendas, minutes, and scope changes.Onsite Management: Take charge of events onsite, ensuring smooth operations, and assist the Divisional Manager and Event Managers as needed.Policies & Procurement:Policy Adherence: Ensure compliance with company operational and financial policies, including the OHS requirements, POPI Act, SLAs, and client policies.Supplier Management: Assist in managing supplier contracts, vetting suppliers, and ensuring they adhere to best practices and legislative requirements. Play a role in building a robust B-BBEE supplier database.Client Relations & Business Development:Relationship Management: Support the Divisional Manager in developing and maintaining relationships with key clients, aiming to maximize business opportunities and meet financial targets.Proposal Preparation: Assist in crafting creative concepts, presentations, and budgets for tenders and proposals.Health & Safety:Compliance: Ensure all occupational health and safety requirements are met for events, with up-to-date OHS files for each event. Assist Event Managers with necessary OHS documentation from suppliers.Requirements:Flexibility: Be prepared to travel and work extended hours, including weekends, to meet the demands of the role. You'll host suites at various events and work across all hospitality events nationwide, ensuring every event you touch is a successEfficiency: Thrive in a fast-paced, high-pressure environment with the ability to multitask and manage deadlines effectively.Attention to Detail: Exhibit meticulous attention to detail and excellent time management skills.Experience: Proven experience in managing events for up to 150 attendees.
