Key requirement Minimum 5 years proven secretarial and administrative experience Relevant qualification in admin management or related fields General customer liaison experience Excellent communication skills both written and verbal and attention to details Ability to think out of the box and problem solve when necessary Computer literacy with knowledge of Sage or Pastel Strong communication, organizational and multitasking skills to effectively contribute to the smooth operation of a multifaceted business Key responsibility Provide essential support to the Managing Director and Operations Manager by performing various administrative, clerical, organizational tasks and taking on facets of business administration Central point of contact, ensure the smooth flow of administrative process within the business unit management and coordinate all appointments for the business unit management. Support management in projects and creating presentations Support work of MD, management of appointments, calendar and telephone calls, provide information about visitors and visit preparations, organization of internal and external meetings, preparation of documents for information and/or signature of management. Ensure the proper archiving of documentation at sub-company level Compose written statements, minutes of a meeting, inquiries and other documents upon management requests Keep daily logs of all current jobs in coordination with the operations manager including assignment of staff to ongoing activities, tracking of vehicles, staff hours Manage project opening and closing documentation including tracking of payments and financials Create a supportive and collaborative work atmosphere with internal and external business partners Support with everyday commercial tasks (documentation, printing of docs, drafting of basic letters, compiling info etc) Closely liaise with the company bookkeeper to provide any info required as well as assistance if needed Organizing courier shipments of documents, samples and other materials to external stakeholders and local and remote locations
