This position will oversee the efficient and effective management of warehouse operations, both internal and external, with a focus on the Warehouse Management System (WMS). This role requires a proactive and organized individual capable of managing day-to-day warehouse activities, ensuring inventory accuracy, optimizing processes, and leading a team to achieve operational excellence. The Warehouse supervisor will play a crucial role in maintaining high standards of safety, quality, productivity & cost.PRIMARY DUTIESInventory Control:Track and monitor inventory levels in real timeImplement & Conduct regular cycle counts and full physical inventories.Investigate and resolve discrepancies between physical and system inventory.Make sure all SAP transactions are being made on time without delays.Ensure accurate receiving, storage, and dispatch of goodsMaintain updated records for stock movements (inbound, outbound, and internal transfers).Receiving, Picking & Putaway:Ensure proper documentation and inspection of incoming goods.Design efficient putaway strategies for optimal space utilization and easy retrieval.Record receipt of items and update the WMS accordingly.Organize picking processes to fulfill orders accurately and efficientlyImplement FIFO (First-In, First-Out) or other picking strategies as needed.Logistics -Shipping & Distribution:Ensure accurate shipment documentation.Coordinate inbound and outbound transportation, including the selection of carriers and routesOptimize outbound logistics to minimize costs and delivery times.Track shipments and manage third-party logistics providersEnsure on-time delivery.Coordinate order processing, picking, packing, and shipping.Manage returns, damaged goods, and inventory disposal effectively.Track returned items and update the system with proper stock adjustments.Operational Efficiency:Streamline warehouse processes to improve efficiency and reduce costs for External Warehouses.Implement best practices for warehouse operations, including receiving, storage, picking, packing, and shipping.Responsible for on time execution of Imports & Intercompany Export orders, need to be coordinate with the source plant from beginning to till it gets delivered at their site.Monitor key performance indicators (KPIs) and implement corrective actions when necessary.Develop & maintain proper MIS reports for each operation.Team Leadership:Supervise and mentor warehouse staff, including scheduling, performance management, and professional development.Foster a positive and productive work environment.Ensure compliance with company policies and procedures.Manage and measure the work performance of team members by executing all aspects of the HBF Performance Management Process.Safety and Compliance:Enforce safety standards and protocols to maintain a safe working environment.Regularly inspect the warehouse for potential hazards.Ensure compliance with relevant regulations and industry standards.Ensure compliance with transportation laws and regulations, including customs requirements for international shipping.Collaboration and Communication:Coordinate with other departments, such as procurement, Customer Service and logistics, to ensure smooth operations.Communicate effectively with internal and external stakeholders.Address and resolve any issues or concerns related to warehouse operations.Statutory recordsAccurate records as per the requirement and ensuring and maintaining the relevant reports for all warehouses.Ensure all contracts are in place against all services availed against WMS.AuditLead / Assist Internal / External Statutory Audits in compliance with HBF Legal Norms as well as local statutory codes as applicable.P&L responsibilityThe individual is direct responsible for all costs in the South Africa that are linked with the Warehouse department.Shipping and forwarding costs.Import and export, costs, and duties.Verification of documents/Invoices related to WH & Logistics expenses & submission of documents to Finance team.MINIMUM REQUIREMENTS5 to 7 years' experience as Warehouse Supervisor in a Chemical or similar business environment.Experience with WMS, EXIM or Supply Chain.Experience with ERP systems like SAP.The individual has a good set of people skills (communication, decision making, teamwork etc.)Knowledge of safety regulations and best practices in warehouse operations.H.B.
