JOB PURPOSE:To ensure the efficient operation of the studio by managing schedules, coordinating activities, and handling sample coordination for e-commerce and marketing shoots. This role serves as the primary point of contact for internal teams and external suppliers for sample-related enquiries, providing timely and accurate assistance. Additionally, the role supports the increased demands of social media shoots and campaigns, manages a growing volume of invoices, coordinates supplier logistics for photography sets, and assists the Studio Manager with overall studio administration to enhance productivity and operational efficiency.KEY RESPONSIBILITIES:Administrative SupportManage schedules, appointments, and correspondence.Assist in organising and coordinating studio activities and projects.Maintain studio records, files, and databases.Capture and process invoices.Provide support with general studio administration.Sample Coordination for Online CommerceLog and track incoming and outgoing samples, ensuring accuracy and completeness.Generate barcodes and/or sample tags for each sample to ensure efficient tracking and identification.Create and manage tasks related to sample coordination.Organise and prepare samples and sample rails for photography sessions, ensuring they are in order and ready to use.Sample Coordination for Marketing ShootsLiaise with marketing teams to understand sample requirements for various campaigns.Coordinate the delivery and return of samples for marketing photo shoots.Ensure samples are properly labelled and prepared according to shoot specifications.Provide General Assistance to the TeamServe as the first point of contact for internal teams and external partners regarding sample-related enquiries.Handle incoming enquiries and direct them to the appropriate person when escalation is required.Provide timely and accurate information and assistance to resolve queries and address concerns.Assist the Studio Manager with general studio administration tasks.Experience RequiredEssential:At least 2 years' experience within an administrative support role.Preferred:Prior experience in a studio, production, or administrative role, ideally within a creative industry such as media, advertising, or fashion.SKILLS REQUIRED:Proficiency in the latest Microsoft applications (Outlook, Word, PowerPoint & Excel).Proficiency in using project management tools (Trello).The ability to:Maintain data accuracy.Communicate effectively both within and outside the company.Build and maintain relationships.Be resilient and maintain high levels of drive and initiative under pressure.Be resourceful.Prioritise.Work independently, as well as be a team player.Be proactive.Be deadline-driven.Be flexible and adapt to change.Be assertive.Sound planning, organising & time management skills.Attention to detail.Willingness to take on new challenges.QUALIFICATIONS REQUIRED:Essential:A Grade 12 Certificate/Matric.Preferred:A relevant qualification in Retail, Administration, Fashion Design /Clothing Production/ Product Development /Merchandising, or a related field.KNOWLEDGE REQUIRED:Understanding of the daily functions and workflow within a studio environment.
