About The Job Role: Senior Administrator Division: Family Office Jurisdiction: South Africa Role Summary: The Senior Administrator is a key member of the Family Office team, with responsibility for the provision of administrative support and relationship management to an established and varied client portfolio with standard levels of transactions. Key Responsibilities: Undertaking general administrative activities within your designated client group, delivering quality service to the highest standards at all times. Liaising with clients, client advisors, and bankers where required, as well as with third parties such as lawyers, auditors, property, and investment managers. Preparation of emails, including responses to client queries, in addition to the production of letters for review by management. Ensuring the timely filing of relevant documents in line with internal policies and maintaining adequate records and data quality in relevant systems. Participating in transaction management, including the acquisition and/or disposal of property, as well as re-financing activities. Coordination of meetings, acting in the capacity of minute taker where appropriate. Other Responsibilities: Support the client onboarding process through the collation of due diligence where required, in line with relevant group procedures. Collaborate with centralized support teams, including payments and data administration, to embed the operating model and ensure work is performed by the right teams at all times. Perform other duties as necessary to support the team and wider business and generally act in the best interests of the division by supporting team members; Ensure accurate and timeline recording and submission of personal time recording activities in line with the agreed internal deadlines and procedures. Take a disciplined approach to reviewing WIP ensuring ad-hoc fees are considered and applied where appropriate. Review invoices and support distribution to clients. Skills & Experience: Hold a relevant Tertiary Degree/ Diploma /Professional qualifications – LLB, BCom LLB and Admitted Attorney or equivalent; Minimum of 3 years experience working in the financial services industry, with experience working with Family Office clients as a distinct advantage. Basic understanding of good governance principles and knowledge of industry practices and relevant regulations and laws Strong communication skills to engage at all levels and develop internal and external business relationships.
