Basic math skills for reconciliations (investigating discrepancies). Experience : Experience in a financial services or investment related administrative environment. will enable you to: People: Proactively manage client and advisor communication and queries. Process client and advisor requests. Interact with clients, staff and other stakeholders. Regular interaction with clients, fellow-employees, business management and LISPs to ensure the effective delivery of communication and administrative requirements. Procedures: Load new clients in the CRM system. Collect mandate documentation and ratings. Compliance and risk management (maintain register of high risk clients FICA). Maintain email communication distribution lists (Correl8). Follow up on queries, outstanding information and incomplete documentation. Manage Metrofile records (reduce unnecessary records and costs). Client service related duties. Investigate discrepancies (reconciliation of Naviga systems and reports according to LISP data). Assist teammates with administration issues. Update and maintain database. Remove (or indicate inactive) client detail for inactive investments picked up. Monitor client folders on the CRM system . Prepare management reports (AUM and AUA reports). Prepare, distribute and process investment instructions (switches; initial, rebalancing and portfolio changes). Perform general duties to include, but not limited to, copying, faxing, mailing and filing of organizational documents and records. Open, sort and distribute incoming correspondence; post and email. Answer all incoming calls promptly and politely; assess callers requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously. Implement model portfolio changes. Monitor deviations from the model portfolios. Restructure a clients portfolio if it is not aligned with the model portfolio. Linking of Advisors. Register new model portfolios. Prepare quotations on a platform. Assist advisors with model portfolio switches, mandates and general administration Processes: Follow internal procedures as per the administrative procedure guideline. All administrative duties must be executed within turnaround times. Ensure that the principles of FAIS and FICA are applied. Technology: Use the CRM system. Use the platform portals. Full working knowledge of Microsoft Office, including Word and Excel
