Communication and Liaison:

Co-ordinate daily/weekly reports for the Business Support Coordinator.
Establish good relationships with clients, suppliers, and internal staff.
Sign in students on the day of their course.
Resolve and log queries efficiently and within a professional timeframe to ensure client satisfaction.
Monitor the internal certification process.
Manage Teams folders with all Learnership records.

Office Administration:

Manage the ordering of Learnership training material in line with booked schedules.
Oversee preparation of classroom for training.
Ensure attendance registers are completed according to company policy.
Prepare ID/SETA pack for trainers.
Manage the process of scanning/uploading signed attendance registers and SETA documentation to head office/Odyssey.
Track training packs until internal certificate is ready for collection.

Report and Assisting:

Ensure that assessments are assessed and moderated on time.
Upload completed attendance register on Odyssey.
Manage Learnership results spreadsheets.
Maintain and submit documents to SETA department when required.
Prepare relevant reports requested by Administrator at SETA department.
Ensure packs are complete for QMS and SETA audits including preparation for audits.
Assist with other SETA requirements when requested by SETA department.
Ensure project review checklist is 100% complete.
Perform scanning, photocopying, and filing of documents.
Report any non-conformances on any quality issues to the Administrator.


Minimum Requirements:

Preference will be given to Employment Equity candidates.
Matric Grade 12 (a degree or diploma will be advantageous but not required).
Minimum of two years' experience in administration.
Proficiency in MS Office, especially Excel.
At least 2 years computer systems and database experience.
Ability to work independently fulfilling a variety of duties.
Ability to process large volumes of work.
Excellent organizational skills and attention to detail.
Excellent interpersonal communication skills and ability to communicate with a diverse population.
