The incumbent will be responsible for working with the Facilities department to plan the setup of all equipment, furniture, decor etc. to ensure compliance with safety and other legislation, standards and guidelines whilst minimising risk to staff, clients, contractors and guests. This position is based at Pretoria.Key ResponsibilitiesPlanningCompile and maintain a full set of floorplans, review and draw up custom floor plans to assist in the selling of the venue and planning for the CSIR International Convention Centre (ICC) for use by clients and staff;Compile safety guidelines and set up manuals for internal departments, exhibition setups, suppliers/contractors etc. and communicate to staff for own use and for use of clients, suppliers etc.;Work with the operational departments of the CSIR ICC to ensure that they are well trained on the safety and setup requirements in their areas;Work with the Reservations Office of the CSIR ICC and CSIR ICC clients to proactively identify and plan for set ups by clients and their service providers and contractors.OperationsConduct regular safety and security walkabouts throughout the day to ensure Safety of delegates and staff;Compile, submit and present safety files to the City of Tshwane Joint Operations Committee to obtain timeous City Council approval of events;Ensure that all necessary safety and setup documentation from exhibitors, clients and contractors is correctly received and filed prior to any set up taking place;Oversee the setup of exhibitions and decor at the CSIR ICC to ensure that all safety legislation and standards are adhered to;Provide advice to the CSIR ICC operations departments regarding the safe and correct set up of equipment and furniture within the responsibility of their departments. Report any violations to the CSIR Safety, Security, Health and Environment Manager or the CA Facilities Manager;Conduct Safety briefings for events;Provide quotations and coordinate the services of exhibition infrastructure, drayage services, height access machinery (cherry picker, scissor lifts, scaffolding), electrical services etc according to supply chain management guidelines;Proactively identify the need for and coordinate an exhibition services desk during big events;Proactively identify the need for and host exhibitor and subcontractor briefings for events;Coordinate CSIR Security services onsite at ICC, Knowledge Commons, Entabeni and Newtons and process billing accordingly.Record keepingMaintain records of all client and subcontractor related safety documentation.Qualifications, Skills And ExperienceA Matric certificate with a basic SHEQ certificate (NQF level 5) within Health and Safety with at least three years experience in a Health and Safety Officer role.Experience within first responder as a Basic Ambulance Assistant (BAA) will be advantageous.Computer literacy, especially in drawing floorplans.Drivers license and own vehicle.Knowledge of relevant legislation and industry standards.Ability to remain calm under pressure.Customer services and orientation.Influencing and Negotiation skills.Methodical and systems orientated.Attention to detail.Problem solving skills.Resilience, perseverance and stress-management.Closing date: 6 September 2024PLEASE NOTE THAT FEEDBACK WILL BE GIVEN TO SHORTLISTED CANDIDATES ONLY.For more info, please email us at ******.
