Familiarity with the senior care industry is a plus.
The role focuses on optimising client intake, managing facility data, and supporting lead generation efforts, contributing directly to our growth within the community.
Key Responsibilities 1.
Lead Management and Client Intake Screen incoming leads and administer intake forms to capture clients' needs.
Communicate via phone, email, and calendar scheduling to provide empathetic, timely responses.
Schedule consultations with the owner and conduct follow-up outreach.

CRM and Inventory Management (ALL-IN CRM) Maintain accurate records within the CRM, including facility services, pricing, and contact information.
Document visit summaries and follow-up actions, ensuring all data is current.
Utilize AI tools (e.g., Zapier, Google Drive) to streamline data entry and updates.

Community and Facility Relationship Building Coordinate with local facilities to keep current on services and pricing.
Schedule tours and meetings with referral sources, including hospitals and rehab centers.
Draft and send emails to maintain facility relationships, setting up automated follow-ups.

Social Media and Digital Presence Management Support social media through Rallio, creating posts and engaging with community content.
Identify and engage with target audiences (seniors, families) to enhance local awareness.
Track engagement metrics to refine our social media strategy.

General Administrative Support Manage calendar appointments for the owner, including client consultations and networking events.
Organize incoming calls and emails, escalating inquiries as needed.
Oversee digital document management, including intake forms and contracts.
Preferred Qualifications Experience with CRM systems (preferably ALL-IN) and lead management.
Familiarity with the senior care industry and empathy for the elderly and their families.
Strong communication skills for handling client inquiries.
Proficiency with automation tools (e.g., Zapier) and AI-supported systems.
Social media management experience, especially for audiences aged 40-70 on Facebook and Instagram.
Ability to manage tasks independently and with minimal supervision.
Experience with digital transcription or OCR tools for document processing.
Familiarity with scheduling tools like Calendly and task management platforms (e.g., Trello, Asana).
