RECORDS ROOM CLERK SUMMARY

The Records Room Clerk position, a crucial role in the Orleans Parish Sheriff's Office, Orleans Justice Center (OJC), and reports to the Records Management Manager.
The Records Room, the information center and record-keeping office for incarcerated individuals in the Orleans Parish Sheriff's Office, relies on the incumbent of this position who will be responsible for all paperwork required to admit, discharge and transfer inmates.
Does related work as required maintaining records based on legal documents received from the various New Orleans court systems (i.e., Criminal District Court,
Juvenile Court, Civil Court, Municipal and Traffic Court, etc.
), other criminal justice agencies (i.e., District Attorney's Office, New Orleans Police Depart (NOPD), Department of Corrections, State Probation and Parole, etc.
), including auxiliary programs and agencies.
Each detained resident must be charged with following receipt of court orders and arrest documents throughout their detainment and release from the Orleans Justice Center.
SALARY
The salary for the Records Room Clerk will be aligned accordingly and commensurate with the selected applicant's knowledge, skills, experience, certifications, and education requirements for the subject position.
JOB RESPONSIBILITIES Primary Job Duties & Functions: Responsible for record keeping, and storage for all incarcerated individuals with the Orleans Parish Sheriff's Office.
Responsible for the daily operations in the records department, including ensuring all resident releases are completed daily and promptly.
Receives, inspects and verifies all documents including court orders, commitments, and remands for the admission, bail, discharge and transfer of inmates.
Verifies the identity of prisoners and bailors/payors.
Uses a personal computer to enter and retrieve pertinent data.
Codes various transactions for computer input from source documents using the established coding system.
Informs appropriate units of any inmates needing medical or psychological assistance, special supervision, or any unusual incidents; diets, increased.
Accepts and counts funds from positively identified bailors.
Conducts NCIC/JMS computer searches on all inmates prior to release and returns all personal property to prisoner upon release.
Maintains files of all legal and computerized documents for inmates.
Responsible for assisting with the training of new hires and employee development when called upon.
Maintain and adhere to existing processes and policies and procedures for the Record Room.
Monitor the receipt of release documents and the timely release of resident Update residents' records to include proper documentation for acceptance and booking.
Review all legal documents from state and municipal courts and ensure resident files are fully updated and worked accordingly.
Responds to phone calls that contain general information to a family member, bond clerks, employees at other law enforcement agencies, and attorneys.
Review and approve resident release documents to ensure all relevant reports are run and the document's accuracy before release.
Read commitments carefully and enter all information in the resident computer record and file.
Enters disposition, date of disposition, section of court, and any cost of fines to be received under the appropriate case number in the JMS.
