This position would also, apart from key performance areas stipulated below, be required to assist the supervisor / manager with other duties from time to time, as may be deemed necessary:Switchboard OperationOverall responsibility for answering, screening and directing incoming phone calls on main switchboardTake and forward messagesTest lines and report faults timeouslyFacilitating customer complaints and queries; foster and maintain dedication to service excellence in every aspect of work carried out; ensure timeous feedback / communication to customers Reception OrganisationManage company's reception area and greet and direct visitors, suppliers and customersCommunicating with people outside the organization, representing the organization to customers, the public, government, and other external sources.
This information can be exchanged in person, in writing, or by telephone or e-mail.
AdministrationAssist with a variety of daily / routine administrative tasks for Admin DepartmentDistribute and manage courier deliveries daily.Oversee meeting and training room bookingsLiaise with Housekeepers for refreshments required in respective meeting roomsUpdate telephone list and manage switchboard programming.Branch VerificationsSupport to Creditors DepartmentEntering, transcribing, recording, storing, or maintaining information in written or electronic/magnetic form.Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.Requirements:Grade 12 / MatricMinimum of 3 years' experience in similar position and environment with exposure to general office administration dutiesComputer literacy – specifically in MS Outlook, Word and ExcelProficiency of Kerridge will be an advantageKnowledge of principles and processes for providing customer and personal services.
This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminologyExcellent written and communication in English Highly developed prioritising and multi-tasking skills; strong sense of urgency; problem solving and decision-making skills; must be able to function effectively under pressure; enthusiastic, self-motivated and can use own initiativePerforming for people or dealing directly with the public.
