A leading company in the industrial sector committed to excellence and customer satisfaction is seeking a dedicated and organized Receptionist/Admin Assistant. You will be the first point of contact to their valued customers and ensure the smooth operation of the front desk and administrative tasks.Key ResponsibilitiesClient Communication and Front Desk Tasks:Answer and direct phone calls to relevant personnelAssist customers with requests on behalf of sales representativesWelcome customers and ensure the correct paperwork is handed over for stock collectionPerform ad hoc duties as required by the Office Administrator to ensure the effective running of the officeAdministrative Tasks:Create pro forma invoices for customer paymentsReceipt of all electronic paymentsInvoice walk-in cash customersRecord all invoices and quotationsMaintain Cash Sale invoices on spreadsheets for reconciliation by Debtors Clerk and Sales Representatives monthlyKeep a separate Cash Sale sheet for Sales Reps to reconcile their accountsLoad sales orders and create pick lists as requiredUpdate Distributor Pricing (excluding DIS Accounts)File all day-to-day paperwork (invoices, credit notes, sales orders, etc.)Arrange accommodation and flight bookings for sales staffAssist with quotations as neededMaintain lead to business to identify tender leads and projectsMaintain weekly training scheduleMaintain project reviewsTake minutes during sales meetingsOrder office suppliesUpdate price-listsUpdate estimating tablesAssist with checking stock during dispatchArrange SWE collections and deliveriesSubmit NCRsPerform ad hoc duties as required by the Office Administrator to ensure the effective running of the officeSHEQ Tasks:Ensure First Aid Boxes are sufficiently stockedFile all checklistsQualifications:Strong organizational and multitasking abilitiesExcellent communication and interpersonal skillsProficiency in Microsoft Office SuitePrevious experience in a similar role is an advantageRemuneration:R15 500 - R17 000 Cost to CompanyGuaranteed 13th Cheque50% Medical AidOnly shortlisted Candidates will be contactedDesired Skills:Attention to DetailCommunication SkillsMulti-tasking skillsTeam PlayerEmployer & Job Benefits:Guaranteed 13th ChequeSeniority levelEntry levelEmployment typeFull-timeJob functionAdministrativeIndustriesHuman Resources Services
