Our Coordinators are primarily responsible for providing a support role to the Project Manager in executing the creative/strategic direction across multiple projects in both the live and virtual environments, using a combination of hard and soft skills to complete daily duties. They are enthusiastic team players with a strong work ethic, capable of handling tight deadlines, working independently with minimal supervision, and adapting to dynamic environments. Are you?
Relevant Experience: Significant experience in event coordination and administration (3 years minimum). Experience with event company procedures or similar event management systems is a plus.Project Management: Ability to manage multiple projects simultaneously, balancing precise execution of daily tasks (in line with best practices), with the ability to build and maintain strong relationships with clients, internal teams, and external vendors.Administrative Excellence: Demonstrate exceptional administrative skills, as this constitutes a major part of the role. We cannot stress this enough! Proficiency with spreadsheets, lists, databases, and detailed document drafting is essential. You will be the driving force behind our internal processes being consistently met.Detail Obsessed: Quite a bit of your time will be spent working with spreadsheets/lists/databases, drafting documents containing a great amount of detail, reviewing internal and vendor documents, and general record-keeping…so a keen eye for detail and quality-control skills are a must.Research and Analysis: Conduct thorough research, analyze information, and interpret details to deliver effective solutions. This requires critical thinking, problem-solving, strict time management, and strong communication skills.Task Management: Meet project milestones and deadlines, and support the Project Manager in coordinating efforts with internal teams and external vendors for successful outcomes.Vendor Relations: Our vendors play a key role in our success. It's essential to build and maintain strong relationships with them while employing a refined approach to negotiations.Technical Skills: Proficient in MS Office Suite, cloud-sharing and collaboration platforms, project management software, and AI tools.Communication: Exhibit effective written and verbal communication skills while interacting with clients, vendors, and internal teams.Flexibility: Ready to travel and work extended hours, including a flexible schedule with weekends, evenings, and public holidays. Comfortable working in indoor and outdoor environments, depending on the nature of the event.Own transport: A valid driver's license and own vehicle.You must also demonstrate the following: While budget creation and management aren't primary responsibilities, you should be comfortable navigating budgets, as you'll frequently reference them when working with vendors, raising purchase orders, supplier invoices, and updating certain financial elements.Excel in high-pressure situations, managing challenges like scope changes, limited resources, and tight deadlines while problem-solving efficiently.Strong interpersonal skills, with the ability to adapt effortlessly to both in-office and on-site environments.If this sounds like you, please apply with the following: A portfolio showcasing key events, projects, or campaigns you've worked on, including a breakdown of your core contributions in those events/projects/campaigns.Your desired take-home salary.Place of work
Our offices are based in the Rosebank business hub. This is an office-based position with occasional working on-site at venues/studios, during site recce's, set-up days, and event days, and does not offer work-from-home/hybrid arrangements.
Office hours
08:30 – 17:00, Monday-Friday
