Project & Admin Coordinator

Screen phone calls, emails, and correspondence, responding on behalf of the executive Draft and review communication for the executive, ensuring clarity and professionalism.
Prioritising of emails and tasks Taking of minutes Internal and external communication Discreetly handle confidential information Assist Project manager in completion of projects Manage the executive's calendar, scheduling meetings, and prioritising appointments.
Coordinate travel arrangements as needed Assist with the preparation of reports, presentations, and correspondence.
Anticipate the needs of executives and proactively address them.
Administrative functions for the operations team.
Project Assistance Assist in project management, including tracking deadlines, deliverables, and resources.
Conduct research as needed for executive decisions or projects.
Financial & Budgeting Support Manage expense reports and assist in budget tracking for the executive.
Process invoices and track financial documentation related to the executives office.
Relevant Qualification and experience Exceptional organizational and time-management skills.
Strong communication skills, both written and verbal.
Ability to manage multiple tasks with a high level of attention to detail.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Ability to prioritize and adapt in a fast-paced environment.
High level of confidentiality and discretion.
Proactive and solution-oriented approach to challenges.
