The Centre for Research & Innovation Support (CRIS) brings together the expertise and strengths of the Division of the Vice-President, Research & Innovation (VPRI), University of Toronto Libraries (UTL), and Information Technology Services (ITS). CRIS serves as both a visible and virtual hub and tri-campus connector with a physical location at the Gerstein Science Information Centre and a researcher-centric website where faculty can learn about and easily access the many existing services, training, research tools, and expertise offered across the University. By providing leadership and coordination with central units and academic divisions, CRIS is intended to promote the visibility of, access to, and value of research and innovation supports. CRIS also works to identify emerging issues and design and deliver complementary programming that supports researchers in their professional development and gives faculty a competitive advantage.

Your opportunity:

The University of Toronto seeks a collaborative, self-directed, and results-focused professional to join the CRIS team. Reporting to the Director, CRIS and working closely with colleagues across the University, the Programming and Events Coordinator supports our portfolio through the scheduling and coordination of events and other program offerings targeted to faculty and divisional research offices. The Coordinator liaises with colleagues to schedule their offerings, collects, edits, and disseminates promotional materials, and provides orientation to related procedures and practices. The Coordinator also helps to optimize the use of our resources by scheduling and coordinating CRIS resources such as our collaborative meeting spaces and technology and makes recommendations on event logistics and options. In addition to scheduling and logistics, the Coordinator collects and collates data, such as registration information and post-event evaluations. As a first point of contact at our Centre, the Coordinator collaborates to identify stakeholder needs by creating intake records and coordinating with colleagues to follow up on inquiries. As a member of the CRIS team, the Coordinator prepares meeting agendas and presentation material and updates and maintains records and databases.

Your responsibilities will include: Coordinating schedule for program and events calendarsActing as the first point of contact for CRIS inquiries, creating intake records and coordinating with the appropriate colleagues to address the requestsAnalyzing needs and making recommendations on logistics and optionsDetermining logistical details and activities for events and/or programmingCoordinating the preparation and distribution of promotional/outreach materialMaintaining information on digital platforms including websites, and e-communication toolsEditing content for brochures, newsletters, websites, and/or handbooksProviding orientation to others on work procedures and practices including event registration, and room and equipment booking proceduresEssential Qualifications: Bachelor's Degree or equivalent combination of education and experience.Minimum three (3) years' relevant experience in planning, coordinating, and executing logistics for small to large-scale programs and eventsDemonstrated experience in meeting multiple and concurrent deadlines and working in a fast-paced environmentProven ability to maintain information on digital platforms, including websites, e-newsletters, listservs, and databasesAdvanced proficiency with Microsoft 365 (Word, Excel, PowerPoint, Bookings) and email software applications; proven ability to learn new systems and tools quickly.Strong proficiency in virtual collaboration platforms, such as MS Teams, Zoom, SharePointStrong skills with website tools including WordPress or equivalent; and e-communication apps including Mailchimp or equivalentExcellent interpersonal, customer service, and communication skills with the ability to interact with a wide variety of stakeholders including faculty and senior leaders in a tactful, polite, professional, and diplomatic wayExcellent communication skills (oral and written); in order to prepare agendas, meeting materials, and presentations and draft content for promotional materialsDemonstrated excellent organizational skills to independently prioritize own workflow and time management skills to handle multiple deadlines and events occurring within short and overlapping time periods.Meticulous attention to detailDemonstrated high quality of workAssets (Nonessential): Familiarity with research and innovation administrationPrior experience working in a research-focused environmentKnowledge of relevant University of Toronto research and innovation policies and resourcesTo be successful in this role you will be: ResourcefulSelf-directedTeam playerClosing Date: 07/16/2024, 11:59PM ET

Pay Scale Group & Hiring Zone:
USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment are subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
