Your opportunity: Reporting to the Director, Strategy and Partnerships, PRiME, the Operations and Events Coordinator will provide administrative, operational, and event support to PRiME. You will also work closely with the Director of the BioHubNet program. The role supports the overall mandate to provide a high level of professional service by interacting with the University's research community, including faculty members, academic administrators, administrative staff, representatives of partner institutions, industry, and sponsors.
In this position, you will be the first point of contact for general inquiries and be responsible for reviewing and drafting correspondence on behalf of the Director, coordinating schedules, maintaining administrative records, and providing administrative support. The successful candidate will take the initiative to coordinate day-to-day activities and assist in advancing strategic projects. This role will be responsible for the coordination and execution of a wide range of events including annual symposiums, lunch & learn with industry, networking and other outreach events, meetings, seminars, and workshops. Additionally, this position will entail writing news stories and maintaining and growing PRiME's social media presence.
Your responsibilities will include: Acting as the first point of contact for general inquiriesScheduling appointments and maintaining senior leaderships' calendarsBooking rooms, audio-visual and/or computer equipment, and arranging appropriate accommodations and scheduling travel plansMaintaining filing system and scanning, filing, and copying documentsCreating and maintaining information on digital platformsDeveloping content for marketing and/or promotional materials, as well as writing news and feature storiesDetermining logistical details and activities for events and/or programmingMaking minor purchases, processing invoices, and preparing expense reimbursementsEssential Qualifications: Advanced College Diploma (3 years) or acceptable combination of equivalent education and experienceMinimum three years of relevant administration and communications experience in a non-profit organizationExperience planning and coordinating small and large events and meetings with high profile attendeesExperience in scheduling meetings and taking meeting minutesExperience working with senior leadership and managing their calendars, including arranging for travel and accommodationsExperience working with industries within the life-science sectorExperience managing social media platforms, and creating, writing and editing high-quality content for web and print media in a professional work-settingExperience in preparing, editing, formatting and drafting documents (ex. Pay Scale Group & Hiring Zone:
USW Pay Band 09 -- $66,715. with an annual step progression to a maximum of $85,319. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
