Roles and Responsibilities The Personal Assistant (PA) to the COO will play a pivotal role in supporting the operational and strategic activities of the Chief Operating Officer. This role requires a proactive, detail-oriented, and highly organized individual who can manage a wide array of administrative tasks, allowing the COO to focus on high-impact responsibilities. The ideal candidate will be a strong communicator, adept in multitasking, and comfortable handling sensitive information with discretion. Responsibilities Executive Support Serve as the primary point of contact for internal and external communications on behalf of the COO. Manage the COOs calendar, including scheduling meetings, travel arrangements, and conference calls, and coordinate across time zones as needed. Prepare meeting agendas, compile meeting minutes, and follow up on action items. Screen and prioritize email, calls, and other inquiries, ensuring prompt and appropriate responses. Operational Support Assist with project management tasks, coordinating and monitoring various project timelines and deliverables to ensure alignment with the COOs objectives. Compile and organize data for reports and presentations, including preparing executive summaries, business reports, and data analysis. Handle sensitive and confidential information with professionalism and discretion. Work closely with other executive assistants and cross-functional teams to ensure seamless operations within the executive office. Administrative & Logistical Support Coordinate logistics for company events, executive off-sites, team gatherings, and board meetings. Manage expense reporting, invoicing, and other financial processes for the COO. Organize and maintain files, records, and documentation related to the COOs activities. Assist in developing and implementing processes and systems to improve operational efficiency.
