Duties & ResponsibilitiesExecutive Assistant Duties:Administrative Support:Manage and maintain the Managing Directors calendar, scheduling meetings, appointments, and travel arrangements.Prepare and edit correspondence, reports, presentations, and other documents as needed.Handle incoming communications, including phone calls, emails, and mail, ensuring timely and appropriate responses.Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.Confidential Assistance:Manage sensitive and confidential information with discretion and professionalism.Provide research and background information to support the Managing Director in decision-making.Travel and Event Coordination:Arrange travel itineraries, accommodations, and transportation for the Managing Director.Organize and coordinate internal and external events, meetings, and conferences.Office Manager Duties:Office Operations:Oversee the day-to-day operations of the office, including managing office supplies, equipment, and maintenance.Ensure the office environment is well-organized, clean, and conducive to productivity.Administrative Support:Supervise administrative staff, including receptionists and clerks, if applicable.Manage office budgets, process invoices, and handle expense reports.Facilities Management:Coordinate with external vendors for office services such as cleaning, repairs, and security.Ensure compliance with health and safety regulations and company policies.Process Improvement:Develop and implement office procedures and systems to improve efficiency and productivity.Address and resolve any office-related issues or conflicts in a timely manner.
