Operations Supervisor

JOB PURPOSE
To have overall responsibility for the day-to-day operations of the Home: to be part of the Home's Senior Management Team with lead responsibility for staff and care services; support the Registered Manager to develop the team to obtain relevant knowledge and qualifications to manage the needs of the young people; you will assess, plan, implement and evaluate care of children and young people using evidence-based practice and ensure a high standard of care service is provided for each resident. You will be expected to take charge of the Home in the absence of the Registered Manager.
KEY RESPONSIBILITIES
Professional Childcare Practice

Being responsible for the day-to-day care of children and young people
Ensuring the Home is compliant with all legislative and regulatory requirements, including Safer Recruitment practices
Adhering to the Equality Act (2010) and related legislation to promote equality and diversity, as these relate to children, young people and adults. This includes fair and equal access to services by affirming a positive sense of identity, difference and diversity of needs
Ensuring safeguarding issues, accidents, and incidents are reported to the designated person or authority
Taking responsibility for addressing Regulation 44 recommendations
Ensuring staff understand and work to achieve outcomes in line with the Ofsted Inspection framework
To be familiar with and see to the implementation of policies and procedures, relevant to the operations of the Home, including the Statement of Purpose
Following the Home's policies and procedures and social care values, all staff are required to observe strict and complete confidentiality regarding information obtained while carrying out their duties
Leading the Senior Support Workers to assess, plan, implement, and evaluate the care of children and young people, within the legislative and regulatory framework, using evidence-based practice and ensuring completion and accuracy of related documents using the Home's Management Software System (ClearCare)
Leading in ensuring the creation of a stimulating environment including access to purposeful and enjoyable activities, including sports, arts and crafts, and activities that may utilise local facilities and day/residential trips with the children and young people
Overseeing the preparation for and participation in looked-after children and young people's Reviews and other statutory or multidisciplinary meetings as required
Managing the day-to-day communication with children and young people, families and carers, the Registered Manager, the Team and other relevant professionals to ensure this is maintained to a high standard which promotes excellent outcomes for the children and young people
Managing the care premises to a presentable level in order to sustain a high-quality standard of care within a caring and safe environment
Ensuring the quality of reception and management of visits to the Home are in line with the Home's Visitors Policy and the child or young person's care plan, and that details are recorded accordingly

Business Processes
Project Management

Deputising for the Home's Manager during their absence, taking overall responsibility for the management of the Home
Being responsible for the day-to-day operations of the Home, working positively with the wider Senior Management Team
Overseeing staff rotas in the home
Ensuring that the general atmosphere of the Home is one that provides warmth and safety, as well as facilitating nurture. Thus, enabling the development of positive social and emotional skills which are essential in the management and exploration of personal difficulties, reassurance, and comfort
Addressing risk management and health & safety in line with legislation, the Home's policies and procedures, ensuring any accidents, incidents or undue occurrences reported or witnessed are addressed.
Ensuring that all compliments and complaints are dealt with proactively referring to the Registered Manager as required
Ensuring handovers occur in accordance with best practice and handover guidance, including but not limited to: shift plans being addressed, the whereabouts and care plan activities of each young person is known, the checking of petty cash and premises, highlighting and preparing for appointments and recording the

Recruitment, Onboarding and Staffing Management

Developing a fully functioning team through appropriate recruitment, onboarding, individual meetings, supervision, staff development and performance management
Through supervision ensuring staff develop relevant skills and competencies
In partnership with the Human Resource and Administration Manager, plan, prepare for and carry out staff probation interviews and appraisals
Manage employee punctuality and attendance in accordance with contract of employment and handover requirements
Assist in managing disciplinary issues, in conjunction with the Human Resource and Administration Manager
Planning, managing, coordinating and recording the training and development opportunities of all staff, ensuring that all staff attend training as reflected in the Workforce Development Plan to maintain good practice
Attending and participating in staff meetings as and when required, including minute-taking and Chairing, and ensuring that across-team participation is encouraged
Ensuring the recording of information using the Home's Management System Software is carried out
Being flexible, and bringing professional judgements to all decision-making processes in order to reflect the needs of the children and young people as well as the organisation and other stakeholders

Procurement

Establishing good relationships with local authorities as part of promoting the services of the Home
Collaborating with the Registered Manager in effectively dealing with referrals and admissions, to promote the maintenance of the best level of occupancy in the Home for the welfare of children and young people, as well as for the efficient operations of the Home

Asset management

Collaborating with the Registered Manager to create the expense budget for the Home and supervise the Team in managing budgetary activities such as money orders, petty cash, residents' allowances and other expenses
Manage the types of resources required by the Home and encourage their use for efficiency and cost-effectiveness
Carrying out regular ad hoc checks on the Home's financial records to ensure suitability, accuracy and completeness

Feedback and service development

Preparing Regulation 45 reports to evaluate the Home's practice
Using appropriate tools to obtain feedback about the provision of services, to improve service delivery

Personal

Completing the role-specific induction programme
Actively participating in personal and professional development opportunities, attending necessary mandatory training as identified
Ensuring there is continual improvement in performance, skills and knowledge, staying up to date with care and managerial skills
Wearing appropriate clothing that is practical and maintains professional standards in accordance with the Home's Dress Code Policy - personally and collectively
Carrying out all other duties within the overall function and level of responsibilities of the post of a Senior Support Worker
