Job descriptionJob Summary:The Operations Administrator ensures the smooth and efficient business flow by overseeing daily administrative functions in accounting and inventory tasks, while providing support to team and executives. This role is essential for maintaining an organized and productive work environment, streamlining operational processes, and facilitating effective communication and coordination within the team as well as between Joint-Venture operations.Key Responsibilities:1. Administrative Support for Premier Cru Wines:-Provide invoicing support to the sales team-Capture inventory movements in Sage and maintain-Coordinate financial reporting communication with Norman Goodfellows financial team.-Support financial reporting requirement for Syspro replication-Monthly reporting and metrics2. Administrative Support for The Wine Archive:-Capture and catalogue clients wines' collection into the system-Stickering and identification of boxes-Manage monthly invoicing under Syspro-Capture in/ out movements and document accordingly in systems-Ongoing optimization of operations and web portal development3. Facility Management for The Wine Archive:-Oversee overall status of Storage facility, maintenance, repairs and services-Monitor Temperature and Humidity conditions and address corrective actions-Establish and manage receiving & dispatch area-Manage operational requirements (boxes, stickers, etc).4. Accounting and operations-Support monthly account communication to clients-Follow up on payments and open orders-Assist in managing and updating online sales platforms-Address and resolve invoicing and account related matters and issues with clients.-Support import logistics processes and capture5. Records and Documentation:-Maintain accurate and organized filing systems, both electronic and physical.-Handle confidential information with discretion.6. Performance Metrics:-Develop and track key performance indicators (KPIs) to assess operational effectiveness for the sales team and logistics operations.-Prepare and present regular performance reports to General Manager.-Identify areas for improvement and implement strategies to optimize performance.-Conduct regular audits and reviews to ensure operational integrity and compliance.7. Operations Management:-Monitor and analyse operational activities to ensure alignment with company goals and standards.-Develop and implement operational procedures to enhance efficiency and productivity.Qualifications:• Bachelor's degree in Business Administration, Management, or a related field (preferred).• Proven experience as an Office Administrator or in a similar administrative role (typically 3+ years).• Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and logistics & financial systems (Syspro, Sage).• Familiarity with office management systems and procedures.• Strong organizational and multitasking skills.• Excellent communication and interpersonal abilities.• Ability to handle sensitive information with discretion.• Problem-solving skills and attention to detail.Skills:• Leadership: Autonomy and initiative with an eye for operational optimization.• Communication: Excellent verbal and written communication skills.• Time Management: Strong organizational skills with the ability to prioritize tasks.• Problem-Solving: Proactive approach to addressing and resolving issues.If you're interested in joining our team, please send your CV to: ****** with the following reference code as your subject line: JHB-PWC-OA0824 (Please note, only applications with the reference code in their subject line will be reviewed for this job opening)This is a permanent position,Deadline for CV submissions is Wednesday, 04 September 2024, COB.If you do not hear from us within 2 weeks, please consider your application unsuccessful.
