The following vacancy is available at BAUER Technologies South Africa (Pty) Ltd. (Midrand)OFFICE & SALES ADMINISTRATORProvides comprehensive administrative and organizational support to all office staff and in particular, to the General Manager. This role ensures smooth daily operations of our office. The ideal candidate will possess excellent organizational skills, a proactive mindset, problem solving, and the ability to manage multiple priorities in a fast-paced environment as well as continuous process improvement suggestions.Minimum Requirements:South African CitizenBachelor's degree in business administration, office management, or related field5 years' experience in administrative support, preferably in a corporate or management settingSAP B1 experience would be advantageousAdvanced (Level C1) of the German language would be to the candidate's advantageConviction free criminal recordValid passport and driver's licenseOwn transportDuties include, but are not limited to:Administrative Support:Assist the General Manager with daily administrative tasks, including managing correspondence, preparing reports, presentations, and documentation.Schedule and coordinate meetings, appointments, and events for management.Handle incoming and outgoing communication, including emails, phone calls, and messages.Daily operation of the main telephone line and if required, directing enquiries to the relevant responsible colleagues.Process & expedite imports administration such as clearance certificates, payments and transport, in conjunction with Sales & Logistics Administrator.Calendar and Time Management:Maintain and organize management calendars, ensuring schedules are kept up to date and conflicts are resolved.Set reminders for important deadlines, meetings, and events.Project Assistance:Assist in the planning, coordination, and execution of management projects.Track project timelines, deliverables, and follow up on the status of tasks.Meeting Preparation:Prepare meeting agendas, take minutes, and distribute action items following meetings.Ensure that boardroom and all materials are prepared for meetings, including reports and presentations.Arrange catering per event requirements and ensure that refreshments are available and in stock.Data and File Management:Maintain and keep HSE (Safety) file updated.Maintain and keep BAUER Employee Handbook updated with latest BAUER policies and procedures.Organize and maintain electronic and physical filing systems for easy access and retrieval.Handle sensitive and confidential information with discretion.Travel Arrangements:Coordinate travel plans, including flights, accommodation, and itineraries for the management team, guests, and International BAUER Employees/Directors.Prepare and process expense reports and reimbursement requests.Arrange travel insurance.Office Coordination:Liaise between management and other departments, ensuring smooth communication and collaboration.Handle office supplies and equipment orders as needed.Liaise with building management in the event of maintenance or repairs to buildings/office space, within the guidelines of rental agreements.Control and reconcile general office related expenses.Log & track IT tickets in conjunction with IT Helpdesk.Interested candidates may send their CV (max 4 pages) to ****** candidates who meet the minimum requirements will be considered.
