Communication ManagementOne of the primary roles of an Office Administrator is to manage communication within and outside the office. This includes answering phones, managing emails, and ensuring that all communication channels are efficiently operated. Effective communication is the lifeblood of any business, and the Office Administrator plays a crucial role in facilitating this.
Scheduling and PlanningAn Office Administrator is responsible for managing the schedules of senior staff and organizing meetings. This involves coordinating calendars, arranging meeting rooms, and ensuring that all participants are well-informed of the upcoming events.
Document ManagementThe handling of documents, from creation to storage, is another critical task. This includes typing up documents, maintaining filing systems, and ensuring that sensitive information is securely handled and stored. Fill in the tender documents. Compile tender returnable.
Resource ManagementOffice Administrators are tasked with managing the physical resources of the office. This ranges from ordering supplies to ensuring that equipment is maintained and functioning properly.
Financial TasksIn many organizations, Office Administrators also handle financial tasks. This could include processing invoices and purchase orders on Sage, managing petty cash, and assisting with budget preparation. Submit returns at Sars (EMP201 and VAT). Submit Return at BCCEI. Prepare monthly creditors. Handle the creditors application processes.
Staff SupportSupporting the staff by organizing onboarding for new employees, managing leave requests, and sometimes even overseeing the maintenance of the office environment is a crucial part of their role.
