You will be responsible for: Office Administration Organizing and maintaining records, files, and databases/SharePointOverseeing and supporting all administrative duties in the office and ensure that office is operating smoothly Ensuring the office environment is always cleaning and neat Organizing the office layout and ordering stationery and equipment Responsible for preparing and serving catering and beverages to clients and team members, when required Assisting in buying consumables such as cleaning products, groceries and beverages Booking travel and accommodation for staff Conducting courier arrangements when needed Assisting the executive team when necessary Finance Administration: Receiving and capturing high volume sale orders from customersVerifying orders by checking the correct information, including customers personal details and payment detailsAmending/changing and maintaining existing ordersSending out Invoices to all customers Contacting customers by email or phone to answer queries and obtain informationCommunicating feedback from customers internallyReceiving calls from customers and assist with queries and ETAs on ordersBuilding & maintaining relationships with CustomersOrdering stock for customers Communicating order deadline dates for productionShipping orders when stock availableKeeping up to date with production lines when stock is receiptedAllocating stock to the correct open orderCommunicating with customers re-orders that are readyCommunicating with customers that owe balance before orders are invoicedAssisting with credit notes Boxes to tick… MatricMinimum of 1 year experience in a similar roleEfficient in Microsoft Word and Excel
