  THE OPPORTUNITY The IT Administrative Coordinator will be responsible for managing and coordinating all administrative tasks within the IT department.
This includes overseeing project administration, asset management, purchase order requests, maintaining accurate documentation, and generating reports to support decision-making.
The role ensures that all IT-related processes run smoothly by maintaining organized records and facilitating communication between departments and vendors.
KEY RESPONSIBILITIES Project Administration: Assist in coordinating IT project activities and schedules.
Track project progress, deadlines, and deliverables.
Ensure proper documentation and record-keeping for all ongoing and completed projects.
Collaborate with team members to manage project-related tasks and updates on project management platforms (e.g., Monday.com).
Asset Management: Maintain an up-to-date inventory of all IT assets, including hardware and software.
Track asset movement, allocation, and lifecycle (procurement, deployment, maintenance, disposal).
Ensure accurate and timely reporting on asset utilization, availability, and performance.
Coordinate asset tagging, cataloging, and proper storage procedures.
Purchase Order (PO) Management: Manage and process purchase order requests from IT vendors and suppliers.
Liaise with the procurement team to ensure timely processing of POs.
Track the status of PO approvals and maintain a record of vendor quotations, deliveries, and invoices.
Collaborate with vendors to address any discrepancies or issues related to POs or delivery.
Documentation and Record Keeping: Maintain and organise IT documentation, including technical manuals, operational procedures, and policy documents.
Ensure all IT records are accurate, up-to-date, and easily accessible.
Develop and maintain a central repository for all IT-related documents.
Ensure compliance with data retention and confidentiality policies.
Report Generation: Prepare and generate periodic reports on project progress, asset management, and purchase order activities.
Analyse data to identify trends, bottlenecks, and areas for improvement.
Develop ad-hoc reports as requested by IT management or other stakeholders.
Ensure timely submission and presentation of all reports.
General Administrative Support: Provide general administrative support to the IT team, such as scheduling meetings, organising agendas, and coordinating internal OPS communications.
Assist in maintaining IT service request platforms (e.g., Fresh Service).
Help coordinate vendor and supplier relationships for IT services and hardware.
QUALIFICATIONS AND SKILLS Education:  Diploma in Office Administration, Information Technology, or a related field.
IT certifications or relevant administrative certifications will be advantageous.
Experience: 3+ years of experience in an administrative role within the IT or technology sector.
Experience with project management tools (e.g., Monday.com), asset management systems, and procurement processes(SAGE X3 or any other ERP).
Familiarity with IT-related documentation, purchase order workflows, and vendor management.
Skills: Strong organisational and multitasking skills.
High proficiency in Google Sheets (Sheets, Docs, Slides) and reporting tools.
Experience with service desk platforms (e.g., Fresh Service) is an advantage.
Excellent communication skills, both written and verbal.
Analytical and problem-solving abilities.
Attention to detail and ability to work in a fast-paced environment.

Ability to work independently and as part of a team.
Strong interpersonal skills for liaising with cross-functional teams and external vendors.

Effective coordination and administration of IT projects and assets.
Maintenance of up-to-date, accurate documentation.
Timely and efficient processing of purchase order requests.
NOTE: Willingness to work outside of working hours as and when required.
