Key Responsibilities:Office Supplies Management:Oversee the inventory of office supplies.Ensure timely ordering and replenishment of supplies.Diary / Calendar Management:Efficiently manage and coordinate the executives diary, scheduling meetings, and appointments.Proactively address scheduling conflicts and prioritize tasks as necessary.Travel Arrangements:Handle all travel bookings including flights, accommodation, and transportation.Ensure all travel plans are executed seamlessly with a focus on cost-efficiency and convenience.Invoice and Claims Processing:Process and track invoices and expense claims for approval.Maintain records of all financial transactions related to the office and personal expenses.Meeting Minutes and Documentation:Attend meetings to take clear and concise minutes.Distribute minutes to relevant parties promptly and follow up on action items as needed.Assist in the preparation of meeting agendasProject Data Management:Capture, organize, and maintain data related to ongoing projects.Provide regular updates on project status and highlight any areas of concern.Ad Hoc Administrative Tasks:Provide general administrative support as required.
