The Person: The person will be able to work with a minimum of supervision, appreciate their role in delivering customer service, possess common sense and initiative, demonstrate a willingness to learn and develop their administrative skills and knowledge.
Qualifications & ExperienceEssential: Computer literacy and reasonable typing skills with courses completed in Excel, Word and Power Point.Grade 12 National CertificatePreferred: Experience in the Tyre Industry.Reports to Site Supervisor / Contract Manager
DutiesThe following is a general list of tasks that a Site Office Administrator is required to perform. The Company may add to or vary these duties from time to time provided the variation is reasonable having regard to the employee's skills, competence and training.
Comply with Otraco Management System (OMS) policies, procedures and instructionsComply with client policies, procedures and instructionsEnsure that all financial transactional documents (e.g., Orders, Invoices, ITD's) are completed and filedMaintain a high quality of service to the clientAnswer the telephone, take and pass on messages to site personnelOperate and maintain office equipment such as fax, photocopier and shredderAttend to all incoming and outgoing mail as appropriateAttend to maintenance of the office (e.g., Repairs, kitchen supplies, cleaners)Order stationery and printer consumables as requiredProvide secretarial assistance such as typing, filing, photocopying, collating, binding, archiving and other clerical assistance as requiredEnter tyre and rim data accurately into the Otracom tyre management databaseMaintain a variety of electronic or manual registers as requiredCollate, check and process time sheetsAttend to banking and petty cash reconciliationsMake travel arrangements and bookings for site personnel as requiredComplete any other duties allocatedSafetySite Office Administrators are required to:
Work safely and follow Occupational Health and Safety ProceduresReport hazards, unsafe work conditions and equipmentImmediately report incidents and injuries to the supervisor/managerComply with applicable instructions documented in the OMS Safety PlanUse and maintain Personal Protective Equipment according to proceduresContribute to meetings and inspections in order to improve safety in the workplaceComply with site emergency evacuation proceduresIndications of AchievementHigh standard of accuracy and timeliness are expected in relation to all aspects of the positionDemonstrated commitment to clientsMeet all agreed KPI targetsMORE INFORMATIONAll applications will be reviewed.
