Our company is seeking a dynamic Office Administrator and a skilled Personal Assistant to join our team. The Office Administrator will ensure the smooth functioning of daily office operations, including managing schedules, maintaining files, and overseeing office supplies. The Personal Assistant will provide high-level support to executives, handling their schedules, organizing meetings and travel, and managing confidential information. Both roles require strong organizational and communication skills, with a focus on efficiency and professionalism.QualificationsRequirements:Grade 12 education.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).Proficient in Adobe Pro.Proficient in Afrikaans and English, both verbal and written.Customer service and administrative experience.Social media experience (Facebook, Instagram, WordPress, Canva, and Mailchimp) preferred.Experience working in Pastel.Positive attitude and a team player.Must reside in the Saldanha/Vredenburg area.ResponsibilitiesDuties and Responsibilities:Welcome clients and direct them to the appropriate areas and persons.Manage the switchboard and handle incoming and outgoing correspondence.Assist in managing the diary of the Managing Director.Provide administrative support to various managers and departments.Draft documents, reports, project documentation, and meeting materials.Assist with research tasks and order office supplies and courier services.Maintain a comprehensive filing system and handle travel arrangements.Coordinate guest services and hospitality.Assist in planning and executing functions and expos.Set up meeting rooms and assist with audio-visual needs.Service Responsibilities:Implement Blue Flag and environmental compliance measures.Supervise the Lounge and manage supplies and cash handling.Maintain records of vehicle, equipment, and employee certifications.Handle client bookings and job information in the booking program.Capture photo records of work progress.Maintain and provide the necessary documentation for customs and authorities.Issue access cards to clients and sub-contractors for work premises entry.Conduct Health and Safety Inductions with Clients.Manage enquiry register and follow up on quotes to clients.Marketing Responsibilities:Capture photo and video content for social media posts.Make weekly social media posts.Create artwork and send seasonal greeting emails.Write articles for the website.Update the WordPress website.Application ProcessEmail your CV and photo to ******:JAAD1092024-1
