Job Purpose: The aim of the role is to ensure that cost optimization is managed by measuring specific elements related but not limited to: Overall fleet and running cost including staff costs, maintenance impact and down time of vehicles.
The incumbent will be responsible for ensuring the effective running of the fleet within the region by ensuring the maximum number of serviced and reliable vehicles is available for deployment. The incumbent is also responsible for analysing all available fleet information to ensure optimal utilization of vehicles and report back to business.
Minimum Experience and Qualification: Relevant Degree or three-year diploma – Logistics, Finance or Transport Management would be beneficial.Experience in large fleet essential.5 years' experience at Senior -Middle Management level.People Management experience with a proven track record of employee engagement and development.Stakeholder management.Service Delivery: Ensure the implementation of best practice guidelines that support and encourage client service delivery excellence.Ensure sufficient vehicle resources to enable the business (all functions) to provide effective services to all customers.Ensure that standard operating procedures for the region are implemented and adhered to.Perform regular site visits and inspections to monitor compliance with client service level agreements and quality standards.Provide support to the business by ensuring annual performance plans are implemented within the set time frames.Maintain relationships between Fidelity Security Services and the vendor.Constantly evaluate vendor services levels provided and make recommendations to the client regarding the improvement of services.Monthly branch visits to be done.Operations: Liaise with Branch, Operations Managers and Regional Fleet Managers concerning the running of their sub-fleets:Managing fuel consumption.Pre-trip inspections.Ensure the correct servicing and mechanical maintenance of the fleet through controlling the performance.Securedrive violations.Tyre management.Control and direct the activities of Fleet Managers concerning requirements, performance and trend activities, guidelines, and deadlines of and reporting of Fleet department.Endeavour to reduce Motor Vehicle Accidents Nationally.Monitor and provide feedback to Executives regarding National fuel consumption.Authorize the procurement and cancellation of fuel cards.Scrutinize fuel reports received from suppliers to ascertain correct fuel consumption.Sample controls of vehicle monitoring equipment to determine levels of excessive idling and advising management of the outcome.Liaising with management to leverage of best practices within Fleet division.Implement all fleet SOPs.Working with the operations team to continuously look at driving routes to maximise profit.Forecasting, Budgeting and Financial Management: Assist in budget preparations aligned to the delivery of plans; monitor variances and report on the achievement of planned objectives, escalating deviations.Prepare reports for submission to relevant stakeholders monthly.Assist the business in achieving the budgeted financial targets by continuous service improvement and cost management, included but not limited to:Managing fuel consumption.Managing the vehicle related costs through reduction in incidents, costs, and the optimisation of resource deployment.Monitoring and managing all direct labour costs namely, overtime, absenteeism, training, excess leave, and staff turnover.Prepare for the purchase of capital items and assets (including lease vehicles).Plan and authorise the purchase of consumables and maintenance of vehicles for various regions.Asset management.Implement three quote system for all procurement.Work closely with the Finance department monitor expenditure and invoicing.People Management: Create individual and team ownership for decisions, plans and strategies by collaborating with and empowering team members.Effectively manage performance within the team in order to ensure business objectives are achieved.Provide clear leadership and promote and foster a team culture consistent with group values.Motivate, coach, mentor and develop direct reports, ensuring the continuous development of team, creating an organisation-wide learning enabled environment.Embrace diversity and drive the Employment Equity strategy within the region.Engage with various stakeholders across the business to drive communication and collaboration.Manage the succession planning process within area of responsibility.Compliance: Through Regional/Branch Fleet managers, ensure that vehicle servicing and inspection maintaining are in place detailed records of.Ensure compliance to group Policies through regular and rigorous fleet audits of regions/Branches.Document and upkeep company's policies relating to Fleet.Ensuring Registering and licensing all vehicles under Fidelity management.Complying with SA Department of Transport laws and regulations.Regular review of company vehicle policy in line with SA laws and regulations.Driver compliance: ensure adherence across the group on Fidelity license and PDP.Environment, Health, and Safety: Set the tone and advocate Zero Harm initiatives and implement strategies to ensure employee health and safety.Ensure legal compliance of fleet.Drive EHS culture of zero tolerance across the Group.Competencies: Providing Leadership.Communicating Information.Building Relationships.Driving Success.Showing Resilience.Investigating Issues.Processing Details.Structuring Tasks.Giving Support.Adjusting to Change.Creating Innovation.Evaluating Problems.Functional technical expertise.Safety Awareness.Action Oriented.Skills: Managing a team.Negotiation skills.Outstanding organizational skills.Analytical mindset and good problem-solving skills.Ability to devise and deliver on strategic goals.Quantitative ability.Exceptional interpersonal skills.Excellent written and verbal communication.
