Minimum Requirements:
3 Year relevant Diploma / Equivalent NQF Level 6 qualification in a similar environment
A Records Management / Archiving Certificate
1 - 3 years' experience in a records management environment
Core Responsibilities:
To manage the development of an appropriately structured FILE PLAN for the CoE that makes provision for the classification; archiving; retrieval and/or disposal of records in compliance with the National Archives & Records Services of South Africa Act 43, 1996, as amended.
To ensure that all electronic records are managed according to the requirements of the National Archives and Records Services and good governance using the EDRMS (electronic document & records management system).
To render support to the Information Officer and/or Deputy Information Officers to ensure city-wide compliance with the provisions of both the PAIA (Promotion of Access to Information) Act and PoPIA (Protection of Personal Information Act), by collaborating with DIOs to raise awareness and education and coordinate training workshops on PAIA & PoPIA across the City.
Monitoring/ensuring that all Departments and entities of the City comply with the PoPIA conditions for lawful processing of personal information and ensuring that all Departments and its entities comply with security safeguards conditions for lawful processing of personal information.
Monitoring/ensuring that all departments and entities of the City comply with the PAIA for the lawful processing of requests for information.
Develop, manage, implement and monitor organisation-wide records management activities, focusing on key strategies and implementation thereof to meet organisational objectives and compliance with required set standards.
To draft and implement Records Management Policy documents to ensure the efficient and effective City-wide management of records.
To facilitate the progressive capacitation of CoE Department with regards to records management skills and techniques.
Ensure that appropriate financial management processes are adhered to, to ensure that appropriate financial compliance imperatives are followed.
Ensure effective operations management in service delivery to ensure compliance with the Batho Pele principles.
