Reporting to the Executive Manager: Operations, the Maintenance Planner is responsible for the implementation of planned maintenance and to assist the various discipline managers within the Operations Department in realizing the V&A Waterfront's preventive maintenance strategy and guiding its asset management plan. The initial purpose of the job will be to oversee, direct, maintain and be responsible for all customization and optimization of the 'Plan On' computerized maintenance management system (CMMS), and develop the necessary workflows, protocols and operating procedures required to deliver on the asset management plan.
The Maintenance Planner also works with all senior managers, supervisors and contractors to manage the planned, scheduled, and predictive maintenance, schedule the entering work orders, providing the necessary reports to enable efficient completion of all work orders/ maintenance schedule. The Maintenance Planner must ensure that the CMMS system functions optimally and must frequently consult with the Business Application Manager in terms of integration with 'MRI', the V&A Waterfront's ERP and property management system to ensure current and future integration points, workflows and integrations are functioning optimally.



Job Objectives
Plan On CMMS/EAM System Maintenance

Manage, optimize and direct any customization of the PlanOn CMMS.
Manage and direct asset survey, data import and together with Finance and/or Development manage all future asset creation and/or take-on in Plan On.
Implement maintenance strategies and develop maintenance procedures.
Utilize latest maintenance management tools to ensure effective maintenance of all assets.
Maintain the asset master record within the CMMS.
Arrange and oversee process for receiving and registering new assets and/or plant items from Development.

Planned Maintenance and Scheduling

Responsible for developing and managing the plant maintenance schedules for the V&A Waterfront in conjunction with Senior Managers, Supervisors and/or Contractors.
Assist with tender documentation, schedules and procedures for planned maintenance contracts.
Assist in the drafting and implementation of Service Level Agreements.
Co-ordinate planned maintenance contracts, create, manage and administer work orders for all general and statutory plant, including but not limited to Heating, Ventilation and Air Conditioning, Linear assets, Lifts, escalators and/or hoists, LPG Installations and bulk tanks, Hydraulic bridges and water locks, Electrical sub stations, Fire alarms and detection, Access control, Pump stations, Building fabric and so forth.
Co-ordinate and schedule all planned maintenance and planned works between discipline managers, supervisors and/or contractors, ensuring SLAs and that the V&A Waterfront's assets, buildings and infrastructure's optimal life cycle is achieved.
Develop work packages and maintenance procedures and align to SOPs for maintenance teams and/or contractors.

Reactive Maintenance Workflow

Ensures that service help desk and/or Control Room (for after hours) is trained, receives all reactive or ad hoc maintenance queries and that such is captured in the CMMS system to the correct standard to aid in initial trouble shooting; and initiate the correct workflow to ensure service delivery.
Analyze and screen work orders and maintenance issues for opportunities to perform root cause analysis and close feedback loops to planned maintenance.
Attend to process, plant and/or equipment issues arising and/or require engineering evaluation and direction that point/lead to improved planned maintenance.
Conduct analysis and trend reports, compiling periodic reports providing Operations with requisite information for decision making.

Asset Creation and CMMS/EAM Master Data

Create and maintain master asset record as it pertains to CMMS for all new equipment installed under capital projects or maintenance refurbishment.
Conduct audits and/or asset surveys to pull in new assets or maintain the asset master record within the CMMS.
Direct process for receiving and registering new assets and/or plant items from Development as well as overseeing scrapping of assets, redundant plant/equipment and related administration.
Conduct analysis and trend reports.

Duty Manager

Responsible for entire complex when on standby / weekend duty, every 8 to 10 weeks, ensuring all problems, i.e., lift stoppages, breakdowns, parking boom failures and leaks are solved timeously.
Represents the Executive Manager: Operations outside working hours and hands/takes over to/from the Night Manager when on duty.

Integration

Assist other V&A Waterfront departments with potentially integrating their MRI service requests with PlanON.
Improve MRI / PlanON work experience through various initiatives.

Operations Optimizations

Identify continuous improvement opportunities through different projects.
Adding Operations budgeting process to PlanON.
Adding Operations Project Management to PlanON.
Create forms for Ops Divisions in PlanON to track and act on different audits, inspections, and so forth.

Team building

Provide non-operational managers with data from PlanON to assist in making informed strategic decisions.
Guide administrative assistants on how to draw reports from PlanON.
Mentor administrative assistants and CMMS coordinator to improve efficiency and effectiveness on PlanON.
Provide PlanON data to service managers ensuring their teams function efficiently and effectively.

Educational Requirements:

National Diploma in the Engineering or Built Environment Field (T or S stream) (NQF Level 5/6) with appropriate experience.
Artisan with minimum NTC3 (NQF Level 4) OR deemed equivalent AND successful completion of an appropriate apprenticeship or successful passing of a recognized industry trade test.
Supervisory Management Course(s) Advantageous.

Knowledge Requirements:

Demonstrated knowledge of building trades and practices, knowledge of air conditioning plant/equipment, BMS systems, electrical and electronic installations.
Working knowledge of the relevant legislation, i.e. OHS Act, Building Regulations and SANS Codes, etc.
Building Services and their integration in the larger Built Environment.
Broad understanding of business issues, metrics, organizational linkages, and customer value.
Knowledge of Microsoft Office Suite particularly MS Excel.
Knowledge of JD Edwards, Oracle, SAP or similar ERP type CMMS/EAM.
