PURPOSE OF THE JOBTo provide general administrative assistance to the Departmental Manager.SAFETY, HEALTH, ENVIRONMENT AND QUALITYParticipate and comply with SHEQ requirements (SHEQ Toolbox)CUSTOMERSEnsure Customer SatisfactionBUSINESS PROCESSESConduct general administrationMonitoring and organising general office requirementsMaintain an effective filing systemAdminister departmental employees' sick leave, annual leave, travel claims, and any other forms as requestedArrange meetings/functions/conferences as requiredMake travel/accommodation arrangements as requiredMaintain refreshment, stationery, and office supply stock levelsCreating purchase orders and other procurement documents on the SAP/COUPA systemEnsure safety, health and environmental standards are maintainedIntranet (Staffbook Medical, LMS, Induction & Standby) scheduling and updatesAllocate employees to the right clocking station i.e., when doing medical and trainingCollect and distribute employee documentsAssist with time clearancePlan and prepare meeting communicationsRecord, type, and distribution of meeting minutesCompile general reportsCoordinate the cleaning of officesEnsure that noticeboards are updated in line with the set requirementsBehavioural CompetenciesSafety AwarenessInitiativeManaging WorkResults OrientationWork StandardsInterpersonal SkillsCommunicationAdaptabilityContributing to team SuccessWorkplace CompetenciesSkills:Computer Literacy (MS Office)KnowledgeSAP HR & FILOLMSCoupaIMS
