Our client is looking for a vibrant, passionate and dedicated Junior Administrator / Service Controller. Candidates that meet the following minimum requirements are invited to apply. Minimum requirements: Excellent and helpful telephone manner and great communication skills Numeracy and accuracy with data input is essential Computer literate Willing to go the extra mile, every time Presentable, well-spoken and articulate Able to work under pressure, plan and organize Administrative skills Own reliable transport Duties will include: Accurately logging of service calls (Praxedo and SAP) and ensure they are assigned to the correct Service Technician Project manage and schedule Technicians for equipment installations together with the sales team based on completed service requirements, payment/orders, stock availability and customer communication Become competent at quoting customers, checking spares availability and pricing to complete customer orders Invoice service technician's job cards on SAP on completion Closing off job cards (Praxedo) with resolutions once the job is completed Source, investigate and provide service history on equipment for customer queries Be willing and able to assist with controlling Technician's spares stock (issues, returns, variances and stock counts) Identify and process warranty and guarantee claim service calls and invoices Answer customer and field-based queries, including account queries by telephone and email Providing holiday and sickness cover for other office staff Carry out such administration tasks as may be required Compiling a job card register of completed jobs for reconciliation purposes Tracking spares orders relating to jobs with the spares department Filing of documents relating to the Service Department Relieve switchboard when necessary and direct messages to correct departments Assist technicians with purchase of local spares Assist technicians with internal ordering of spares and internal transfers Assist with scheduling of Technicians Assist with invoicing on SAP when necessary General relief of administration overflow where necessary Assist with annual stock count Report directly to the Sales Administrator and Branch Manager Working hours: Monday to Friday: 8H00 - 16H30 Benefits include: 50% contribution to Discovery medical aid Discretionary 13th cheque based on performance Pension: company contribution 4% and 2% contribution by the employee Overtime may be required for quarterly stock counts and when deadlines have to be met Life Cover: 2 year annual salary benefit - paid in full by the company IMPORTANT: Applications close 5 September 2024 Only applications submitted via the Ditto Jobs platform will be considered Only candidates who meet all our client's minimum requirements will be contacted
