Our client in Port Elizabeth is looking for an Information Coordinator, where you'll play a vital role in managing and maintaining our database to ensure its accuracy and reliability!
In this dynamic position, you'll collaborate with various departments to keep databases up-to-date, prepare detailed reports, and facilitate customer communication channels.
Your key responsibility will be to provide precise, actionable data that supports decision-making across operations, production, and customer service teams.
If you're ready to enhance operational efficiency, ensure quality service, and contribute to strategic initiatives, this is the job for you! Key Responsibilities: Draft, prepare, and coordinate weekly customer newsletters and field reports, focusing on pest data (e.g., FCM, fruit flies).
Manage customer information within the ERP system, ensuring the database is up-to-date with customer contacts, farm managers, administrative staff, and account details.
Oversee data management for customer information, including annual verification and updates on farm, orchard, block, cultivar, and planting year details.
Set up pest monitoring traps on systems with correct coordinates and pest data, enabling field staff to efficiently scout in the field.
Support mid-season customer feedback surveys, compile feedback, and report findings to management.
Serve as the liaison with software providers to communicate system updates, resolve bugs, and ensure continuous improvements.
Collaborate with the finance team on invoice adjustments and changes to annual contracts.
Support quality control (QC) reporting for production and program management, verifying data accuracy regularly.
Guide office administrators to ensure efficient data entry and accurate record-keeping.
Assist customers in obtaining the necessary data for Global G.A.P.
and Department of Agriculture audits.
Update metrics files and provide regular internal reports for the management team on project progress and completion.
Develop and conduct training sessions for staff on internal systems and customer portals, creating SOPs and user guides as needed.
Assist the technical team with data analysis, desktop analysis, and reporting to recommend solutions and products for pest management.
This may include visits to customers.
Generate weekly and ad hoc reports for key customers, facility operations, and internal stakeholders.
Provide monthly summaries on the information department's projects, including status updates and completed tasks.
Act as a key account manager for software systems, ensuring streamlined support and communication.
Requirements Requirements Education & Training 1 – 3 years work experience in similar role Fluent in both English and Afrikaans Diploma or certificate in information-, systems-, project- or logistics management Diploma or certificate in business management, economics, communication will be beneficial Experience in audit, process flow or systems development would be beneficial Geographical Information System experience would be beneficial Computer literacy to a high level (Excel, Word, Outlook, Database Management) Valid SA driver's license required Characteristics: Customer-focused, with a collaborative attitude toward team and client needs.
