Job Title: Foreign Exchange Operations Administrator Overview: The Foreign Exchange Operations Administrator is responsible for managing day-to-day operations related to the onboarding of new clients, settlement processes, and maintaining accurate financial records within foreign exchange operations. This role requires strong administrative skills, attention to detail, and proactive management of various tasks to ensure smooth operations within the department. Key Responsibilities: Client Onboarding & Administration: Oversee the onboarding process for new clients and maintain updated records of existing clients, ensuring compliance with regulatory requirements. Manage business mandates and agreements with authorized dealers and regulators. Transaction Settlements: Ensure timely and accurate settlement of foreign exchange transactions, including processing of Balance of Payment forms. Coordinate the sending of required documentation for transaction settlements and ensure correctness of client confirmations. Operational Support: Liaise with authorized dealers to resolve operational matters, facilitate exchange control applications, and assist with tax clearance processes. Manage reconciliations of bank and internal accounts. System & Data Management: Update and maintain internal systems (e.g., Tyrus) with client information, transaction records, and operational changes. Ensure accurate data capturing and reporting of foreign exchange statistics. Query Resolution: Address and follow up on any operational queries, ensuring that all issues are resolved efficiently and within set timelines. Profit Optimization: Contribute to optimizing profitability by quoting rates to suppliers and ensuring efficient execution of exchange transactions. Required Skills & Competencies: Excellent administrative and organizational skills with a strong attention to detail. Ability to think conceptually and solve problems. High accuracy and precision in all tasks. Strong interpersonal and communication skills, with the ability to work collaboratively with internal teams. Proactive approach to managing tasks and anticipating needs. Strong adaptability and flexibility to handle changing priorities in a fast-paced environment. Experience & Qualifications: A relevant tertiary qualification or certification. At least 5 years experience in an administrative environment, preferably within financial services or foreign exchange operations. Proficiency in Microsoft Outlook and other office software. Personal Characteristics: Strong client and service orientation with a focus on delivering high-quality results. Intellectual maturity and integrity, with a focus on maintaining confidentiality and professionalism. Affable character with a strong ability to build relationships and work well within a team. Detail-oriented and committed to operational excellence.
