The Financial Operational Administrator serves as a crucial liaison between iStores and the Finance department, ensuring smooth communication and collaboration. This role supports the Financial Operational Controller by managing operational and financial risks, processing refunds, addressing cashbook queries, and executing various finance-related tasks efficiently and effectively. Responsibilities:

Refunds

Tasks: Verify and process refund requests from stores, ensuring prompt payment and resolution of system errors. Maintain an accurate refunds tracker and adhere to the SLA for processing refunds.
Measurement/Indicators: Timeliness and accuracy of refunds processed; daily cash back processing; refunds tracker maintenance.

Cashbook Queries and Resolutions

Tasks: Log and investigate cashbook queries, addressing discrepancies between system data and physical cash/card collections. Resolve queries within an acceptable timeframe and raise financial/operational concerns promptly.
Measurement/Indicators: Timely resolution of cashbook queries (±72 business hours); effective problem-solving and query management.

Financial Reconciliation and Compliance

Tasks: Assist with gift card reconciliation, General Ledger accounts, journal processing, and financial query resolution. Ensure compliance with financial processes and maintain updated manual invoice sheets.
Measurement/Indicators: Accuracy of financial reconciliation; adherence to financial processes; maintenance of daily gift card tracker.

Petty Cash Management

Tasks: Verify and manage petty cash expenses submitted by stores, ensuring compliance and thorough verification of claims.
Measurement/Indicators: Accuracy of petty cash management; timely reporting of non-compliance issues.

Ad Hoc and Reporting Duties

Tasks: Perform various financial tasks as needed, assist with store queries, process invoice amendments, and prepare weekly reports.
Measurement/Indicators: Completion and accuracy of ad hoc tasks; timely and accurate report preparation; effective dispatch of manual invoice books.


Qualifications for the Role:

Completed Matric; post-graduate studies are a bonus.
2+ years of experience in retail with a focus on store operations and administration.

Proficiency in data handling and computer literacy.
Excellent time management and interpersonal skills.
Dynamic and adaptable outlook, with a strong attention to detail.
