Roles and Responsibilities

Assist in conducting routine inspections and checks of the office building, equipment, and appliances to identify repair and maintenance needs, ensuring optimal functioning of all facilities.
Ensure vendors and suppliers deliver correct items according to service agreements.
Maintain high standards of cleaning, hygiene, and safety throughout the office.
Issue cleaning and bathroom supplies to cleaners.
Maintain a schedule of preventative maintenance tasks for all facility equipment.
Assist with managing and maintaining accurate records of inventory, including office supplies, kitchen and bathroom consumables, safety equipment, security systems, and emergency supplies.
Provide administrative assistance and operational support regarding maintenance, stock control, and other facilities-related matters to ensure smooth office operations.
Report any maintenance issues immediately and assist with preventative maintenance tasks.
Help schedule and track repair and maintenance activities.
Conduct basic safety inspections (e.g., fire safety equipment, electrical safety, slip hazards, lighting, ventilation, cleanliness, security).
Monitor office supplies and consumables to ensure adequate stock.
Issue stationery to staff upon request.
Ensure boardrooms are clean, tidy, and prepared for meetings.
Maintain organized facilities-related documents.
Assist with courier pickups and deliveries.
Conduct weekly and monthly stock control.
Receive, document, and pack newly arrived stock.
Assist with lifting and moving lightweight items as needed.
Set up snacks and drinks for boardroom meetings.
Monitor plant maintenance and report repairs.
Maintain an organized storeroom.
Ensure reception, boardrooms, and visitor areas are neat and tidy at all times.

Qualifications, Skills, and Experience:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Minimum 3 years of experience in office administration or facilities coordination.
Experience in vendor management and facilities project management.
Knowledge of safety regulations and strong administrative skills.
Customer service experience.
