The ideal candidate will possess exceptional organisational skills, a keen attention to detail, and the ability to handle a wide range of administrative and executive support-related tasks. This role is pivotal in ensuring the Director's day-to-day activities run smoothly and efficiently.Key ResponsibilitiesAdministrative SupportManage the Director's calendar, schedule meetings, and coordinate appointments.Handle incoming and outgoing communications, including emails, phone calls, and correspondence.Prepare and edit documents, presentations, and reports for meetings and presentations.Organise and maintain the Director's files, records, and documentation.Time and Task ManagementPrioritise and manage multiple projects simultaneously, ensuring deadlines are met.Coordinate and oversee the Director's daily, weekly, and monthly schedules.Arrange travel itineraries, accommodations, and transportation for the Director.Meeting and Event CoordinationPlan, organise, and execute meetings, conferences, and company events.Prepare agendas, take minutes, and follow up on action items from meetings.Ensure all logistical aspects of meetings and events are handled efficiently.Communication and LiaisonAct as the primary point of contact between the Director and internal/external stakeholders.Develop and maintain effective relationships with clients, suppliers, and team members.Relay information and directives from the Director to relevant parties in a clear and concise manner.Project SupportAssist in special projects and initiatives as assigned by the Director.Conduct research and gather information to support project planning and execution.Track and report on project progress, ensuring alignment with company goals.Financial and Budget ManagementAssist in managing the Director's budget and financial planning.Prepare and process expense reports, invoices, and financial documentation.Monitor and track expenditures, ensuring adherence to budgetary guidelines.Confidentiality and DiscretionHandle sensitive information with utmost confidentiality and discretion.Ensure the security and privacy of the Director's personal and professional information.Technical ProficiencyUtilise Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to perform tasks efficiently.Familiarity with project management tools (e.g., Asana, Trello) and communication platforms (e.g., Slack, Zoom).Maintain and update the Director's contact database and client relationship management (CRM) system.Personal AttributesExhibit a high level of professionalism, integrity, and reliability.Demonstrate strong problem-solving skills and the ability to make informed decisions.Show adaptability and flexibility in handling changing priorities and tasks.Continuous ImprovementStay updated with industry trends and best practices related to executive support.Seek opportunities for personal and professional development to enhance skills and performance.QualificationsBachelor's degree in Business Administration, Management, or a related field preferred.Minimum of 5 years of experience as an Executive Assistant or in a similar role.Proven track record of supporting senior executives in a fast-paced environment.Excellent verbal and written communication skills.Strong organisational and time management skills.High level of proficiency with office software and technology tools.Ability to work independently and as part of a team.Exceptional attention to detail and accuracy.BenefitsCompetitive salary and benefits package.Opportunity to work with a leading company in the stone fabrication and fitting industry.Career growth and development opportunities.Collaborative and supportive work environment.Seniority levelMid-Senior levelEmployment typeFull-timeJob functionAdministrativeIndustriesConstruction
