Are you seeking an opportunity to leverage your exceptional administrative skills in a dynamic and fast-paced environment within the financial services industry? Our client, a prominent player in the financial sector, is currently seeking a talented Executive Assistant to join their team. This is an exciting opportunity to support high-level executives and contribute to the success of a leading financial services firm.
Responsibilities:

Email and Diary Management: Efficiently organise and prioritise the MD's emails. Schedule appointments, meetings, and engagements, optimising the MD's time.
Client Coordination: Serve as the initial point of contact for clients. Schedule and confirm meetings, ensuring all necessary materials are prepared in advance.
Technology and CRM Management: Leverage technology to streamline operations, with a particular focus on maintaining the MD's HubSpot CRM. Ensure accurate recording and updating of client information.
Meeting Preparation: Facilitate the preparation of meeting agendas, presentations, and documents. Attend meetings as required, taking minutes and tracking action items.
Travel Arrangements: Plan and book all aspects of travel, including flights, accommodations, and itineraries, ensuring a seamless travel experience for the MD.
Confidentiality: Maintain strict confidentiality regarding all sensitive company information and operations.

Skills and Qualifications:

Experience: At least 3 years of proven experience in an executive assistant role, ideally within the insurance or financial services sector.
Organisational Skills: Exceptional time management and the ability to manage multiple tasks and priorities simultaneously.
Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
Discretion: High level of professionalism and discretion in handling confidential information.
Proactivity: Ability to anticipate the needs of the MD and act accordingly with minimal direction.

Adaptable and resilient, with the ability to work under pressure.
A positive attitude and the ability to work as part of a team.

Work Conditions:

Office-based position with standard working hours; however, flexibility is required to accommodate the MD's schedule, including outside of regular business hours.
Occasional travel may be required for meetings or events.

Reporting Structure:

Directly reports to the Managing Director.
