This busy and prestigious property requires an efficient, decisive and energetic individual who demonstrates excellent communication skills.
Key responsibilities include responding to event enquiries, conducting site inspections, capturing details, conducting booking follow-ups, and managing conversion and contract negotiations as needed. Once the booking is confirmed, the individual will ensure that the client supplies all their requirements regarding the group/event, and all details are communicated to all departments via function sheets. They will follow up and be responsible for all billing and payment arrangements.
KEY DUTIES:

Identify, solicit, and develop existing and new accounts
Plan, organize, and host client events
Plan and conduct creative site inspections
Represent the estate during property site inspections and educational visits
Ensure function/booking information is entered correctly
Negotiate the contractual terms and ensure all written communication is presented professionally with no errors and attention to branding details
Meet with the client to ensure all aspects of the event or group are discussed
Manage client expectations regarding timelines for menu decisions, deposit schedules, etc.
Draft Function Sheets showing every aspect of the booking and distribute them to the Operational Department
Conduct pre-con meetings before group arrival ensuring all required department heads are present
Ensure clients receive pro forma invoices and that deposit payments are made on due dates
Prepare a detailed handover document in the form of a resume and function sheet
Meet and greet clients for Groups and Events, introducing them to the Banqueting Manager and relevant departments
Check in with clients during their stay/event to ensure satisfaction
Communicate areas of concern from clients to relevant department heads
Attend morning meetings when required to discuss forthcoming groups/events
Be fully conversant with all health and safety, fire, and emergency procedures
Ensure all accounts are finalized with no outstanding payments on group bills before departure
Deal with all colleagues in a polite and helpful manner
Contribute to teamwork that positively impacts Guest Service
CORE COMPETENCIES:
Computer literate, including relevant software and experience using a PMS system
Minimum 2-3 years experience in a similar position
Focus on detail, which is a major requirement of the job
Ability to work efficiently, accurately, and quickly in a fast-paced environment
Ability to prioritize as this position has multiple projects going simultaneously
