Job Title: Creditors Clerk Job Purpose: The Creditors Clerk will be responsible for handling all financial transactions related to the company's creditors. This includes processing invoices, reconciling accounts, maintaining financial records, and ensuring the timely and accurate payment of bills. Key Responsibilities: Invoice Processing : Receive and verify invoices for goods and services. Ensure that invoices are correctly matched to purchase orders and goods received notes. Accurately capture supplier invoices into the accounting system. Account Reconciliation : Reconcile supplier statements with the ledger. Resolve discrepancies by working with suppliers and internal departments. Payments : Prepare and process electronic transfers and payments. Ensure payments are made in accordance with agreed-upon terms and conditions. Maintain a schedule of payment due dates to ensure timely payments. Supplier Liaison : Communicate with suppliers regarding queries, discrepancies, or outstanding issues. Respond to inquiries from suppliers about the status of payments. Financial Reporting : Assist in month-end closing by providing reports on the status of creditors. Ensure accurate records of all financial transactions related to creditors. Internal Controls : Maintain confidentiality of financial information and ensure adherence to internal control policies. Assist in the development of procedures and controls related to creditors. Administration : Maintain a proper filing system for all creditor-related documentation. Assist with other administrative duties related to finance as needed. Skills and Competencies: Strong numerical and reconciliation skills. Attention to detail and high level of accuracy. Good communication skills to liaise with internal departments and suppliers. Proficiency in accounting software (e.g., Sage, SAP, Pastel). Ability to work under pressure and meet deadlines. Knowledge of VAT, payment terms, and accounting principles. Qualifications and Experience: Diploma or certificate in Accounting, Finance, or a related field. Minimum of 2-3 years of experience in a similar role. Experience working with accounting software and systems. Strong understanding of accounts payable processes and practices. Key Performance Indicators (KPIs): Timeliness of payment processing. Accuracy in invoice capturing and account reconciliation. Minimal supplier queries due to payment delays or errors. Compliance with company payment policies and procedures
