Contracts Department Operational Manager

You will be responsible to manage, coordinate and plan our Contracts Department to ensure professional After Sales Service and Customer Contact in order to plan and execute timeous and accurate commencement and completion dates of all contracts. Our company image, product quality and perceived professionalism are determined by the successful execution of this most important function. You will be supported by the following staff, sub-ordinate to your position: Contracts Managers (full contracts management function)Contracts Coordinator (support to Contracts Managers)Electrical Sub-ContractorsInstallation Sub-ContractorsVentrite Maintenance SupervisorVentrite Maintenance Teams The entire Contracts Planning and Execution function consist of the following key elements to ensure excellence in after sales service: Contract allocations to selected Contracts ManagerContract hand-over meetings with our Marketing and Sales Manager (vacant) and SalesConsultantsEffective contracts planning and executionClose coordination with our Financial DepartmentSub-Contractor allocation and negotiating within the given allowance valuesInstallation date planningCustomer contact and effective communicationSite instruction procedureTimeous and correct purchase order procedures for outsourced materialsTimeous and correct factory works order proceduresDrawing submission for installation approvalSub-Contractor file preparations with all documentation and hand-over meetingsContracts progress monitor and feedback reports and meetingsPre-commissioning and final commissioning hand over meetings O&M Manual preparation for mechanical systemsLiaison with sub-contractors on a daily basisTimeous and successful contract completion within determined deadlinesReceive signed documentation and photographs from Sub-ContractorsProcess approved Sub-Contractor invoices and claims for paymentEnsure that contract invoice cut-off dates are achieved for claim purposes Ventrite maintenance teams neatness of vehicles and clothingTools and equipment check lists of aboveSAQCC registration ISO 9001 Work InstructionsISO 9001 QMS System
