Job Overview:
The Business Operations Manager will be a key leader in driving Malabie Infinitum's growth by overseeing and optimizing daily operations, financial planning, human resources, and customer engagement. This role requires an individual with advanced expertise in operations, business administration, and strategic leadership. The Business Operations Manager will play an essential role in ensuring that our company operates efficiently, profitably, and ethically. This individual will bring a mix of strategic oversight and hands-on management skills to support long-term goals, with a focus on maximizing efficiency, reducing costs, and ensuring customer satisfaction.
As the Business Operations Manager, you will work closely with senior leadership to set and execute operational strategies, design and implement policies, manage cross-functional projects, and provide data-driven insights that enhance decision-making. You will also oversee financial reporting, budgeting, HR processes, and marketing efforts, making you a versatile and influential member of our team.
Key Responsibilities:
Strategic Operations Management
Operational Planning and Execution: Collaborate with senior leadership to create and implement operational strategies that align with Malabie Infinitum's business goals. Manage projects to ensure each department meets its objectives and maintains high standards.
Cross-Functional Coordination: Serve as a key liaison between property management, e-commerce, marketing, HR, and tech operations, ensuring cohesive strategies and alignment across teams.
Process Optimization and Innovation: Continuously review and improve operational processes to increase efficiency, minimize costs, and improve service quality. Lead automation efforts and workflow optimization to support scalability.
Performance Metrics and Goal Setting: Define key performance indicators (KPIs) for each area of responsibility, establish benchmarks, and monitor progress. Make data-driven recommendations to optimize performance and meet business objectives.
Property Management and Customer Experience
Portfolio Oversight: Manage Malabie Infinitum's portfolio of rental properties, ensuring maintenance, compliance, and profitability. Develop policies that standardize high-quality service across properties.
Tenant and Client Communication: Oversee communication with tenants, guests, and clients, ensuring prompt and professional responses. Handle escalations and ensure a positive, consistent customer experience.
Vendor and Contractor Management: Build and maintain relationships with external vendors, negotiate favorable terms, and ensure high-quality service. Establish contracts and vendor agreements that support the company's goals.
Customer Feedback and Experience: Analyze client and customer feedback to identify trends and improve services. Implement processes that enhance customer satisfaction, strengthen relationships, and improve retention.
Financial Management and Reporting
Comprehensive Financial Oversight: Oversee invoicing, accounts payable, accounts receivable, and financial reporting. Ensure accuracy in financial documentation and compliance with regulatory standards.
Financial Planning and Control: Develop and manage budgets, aligning resources with strategic goals. Identify cost-saving opportunities and forecast financial needs to support company growth.
Financial Accounting and Reporting: Produce detailed financial reports, including cash flow analysis, budget performance, and profit margins. Present data to senior management and provide insights to inform strategic planning.
Compliance and Risk Management: Ensure all financial activities comply with industry standards, ethical practices, and legal requirements. Conduct audits to maintain accuracy, transparency, and accountability.
Inventory Management and E-Commerce Operations
Inventory Control and Optimization: Oversee the procurement and management of inventory for both e-commerce and property needs. Implement demand forecasting and inventory planning to meet business needs efficiently.
Vendor Relations and Procurement: Manage vendor relationships, negotiate terms, and ensure reliable supply chains. Develop procurement policies that control costs and ensure timely deliveries.
E-commerce Operations Management: Oversee e-commerce logistics, including order fulfillment and customer support. Monitor and optimize metrics such as fulfillment times, accuracy, and customer satisfaction.
Technology Integration in Inventory: Implement inventory management tools and digital systems to improve tracking, accuracy, and cost-efficiency in inventory control.
Marketing and Customer Engagement
Marketing Strategy and Implementation: Develop marketing initiatives that support customer acquisition, brand visibility, and client satisfaction. Oversee digital marketing campaigns, customer segmentation, and brand positioning.
Client Relationship Management: Build long-term client relationships by delivering high-quality services and responsive support. Develop customer engagement strategies that drive loyalty and enhance the customer experience.
Customer Service Protocols: Implement customer service frameworks to ensure timely and effective responses to inquiries. Monitor service metrics and gather feedback to improve service quality.
Human Resources and Team Management
Talent Management and Recruitment: Collaborate with senior leadership on recruitment strategies, onboarding, and retention. Oversee performance evaluations, employee development, and career growth initiatives.
HR Policy Development: Develop and implement HR policies that align with company culture, foster a positive workplace, and ensure compliance with employment laws and best practices.
Employee Relations and Team Building: Act as a resource for employee relations, providing guidance and resolving issues. Foster a collaborative, inclusive work environment that promotes high performance and employee satisfaction.
Ethics and Compliance: Ensure all HR practices comply with legal standards and ethical guidelines, promoting transparency, integrity, and fairness across the organization.
Technology Integration and Information Systems
Process Automation and Digital Transformation: Lead the adoption of technology across business functions, optimizing workflows and improving data management through automation.
Information Systems Management: Oversee the implementation and use of CRM, ERP, and inventory management systems to streamline operations and maintain accurate records.
Data Security and Compliance: Ensure that all digital tools and data management practices comply with security protocols and data privacy regulations.
Continuous Improvement and Innovation: Stay current with emerging technology trends. Evaluate and recommend new tools and systems that support business growth and operational efficiency.
Business Statistics, Data Analysis, and Reporting
Advanced Reporting and Analysis: Develop data-driven reports on operational performance, customer satisfaction, financial health, and other KPIs. Provide insights that guide strategic planning and resource allocation.
Statistical Analysis: Use business statistics to interpret operational and financial data, identifying trends and opportunities for improvement.
Continuous Process Improvement: Conduct regular audits of business processes, identifying areas for efficiency gains. Implement process improvements that support scalability and profitability.
Cross-Functional Collaboration: Partner with teams across departments to ensure operational and strategic alignment. Use data insights to facilitate informed decision-making and improve overall performance.
Required Skills and Qualifications:
Education: Bachelor's degree in Business Administration, Operations Management, Finance, or a related field (required).
Experience: 5+ years of experience in operations, business administration, or property management, with a proven record of success in a leadership role. Advanced expertise in financial management, analysis, and reporting. Experience in marketing, HR management, and information systems, with a comprehensive understanding of operational workflows and cross-functional project management.
