ASSISTANT MANAGER: CONFERENCE CENTRE

RESPONSIBILITIES:
To manage, supervise, prepare and assist with audio-visual equipment and related aids, logistical support of events, conferences as well as maintenance of all facilities, equipment and venues under the department's control and coordination of all discussions. In addition to provide support service to the Manager (Co-ordinator): Conference Centre in terms of operational activities through the following:
Development and maintenance of appropriate planning processes, procedures, and plans in order to achieve the desired results;
Identifying and providing all maintenance budgetary requirements to the line manager on time and within the deadline;
Providing logistical support to organizers and delegates;
Organisation of activities in relation to the events within the relevant venues;
Applying the necessary protocols when dealing with high profile guests and delegates;
Assisting in executing ad hoc or unplanned events to customer satisfaction;
Adapting and making changes to the facilities to accommodate the needs of the user within the parameters of the University's rules and regulations;
Checking that the bookings are correct and in place to satisfy the user of the facility;
Seeing that all venues booked are open and accessible for the users thereof;
Continuous liaison with the booking officer to keep abreast of the events scheduled;
To develop an organisation climate that improves staff morale and client satisfaction;
Secure venues and safeguard assets as well as monitor key control for venues, safes, and storage facilities;
Ensure that relevant security measures are in place to meet the needs of the specific activities.
MINIMUM REQUIREMENTS:
Relevant National 3-Year Diploma: A Diploma in Events Management, Facilities Management, or Engineering (IT) with at least 3 years of proven experience, OR Grade 12 Qualification with a minimum of 5 years of proven experience.
Minimum Proven experience in the following:
Facilities Management;
Events Management;
Modern Audiovisual Technology;
Client engagement at all levels;
Administrative Experience;
Management Experience.
Valid Driver's License (Code B)
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
Knowledge of Expo and Exhibition Setup;
Knowledge of Project Management (Event Planning);
Knowledge of Safety and First Aid;
Knowledge of Facilities Management;
Knowledge customer engagement at all levels;
Audiovisual Technical skills;
General Technical Experience with Modern Audiovisual Teaching Aids and Audio Equipment;
Team Player.
ADDED ADVANTAGES AND PREFERENCES:
Safety and first aid experience and awareness;
Willingness to work and irregular hours when needed;
Post Graduate Diploma in Project Management;
General Management;
Advanced technical and computer skills;
Multilingualism (English/ Afrikaans and any other language);
Advanced Audiovisual Technology (4 Years experience);
Project Management (4 Years experience);
Property Management (4 Years experience);
Coordinating and Execution of Large Events (4 Years experience).

The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
